Job Summary

The duration of this temporary role is approximately 1 year.

The Project Coordinator applies professional concepts to conduct analytical studies or projects of moderate scope and complexity to address a variety of policy, research and procedural issues. Fully analyzes issues and problems, gathers data and information, finds and evaluates alternatives and makes sound recommendations.


The School of Pharmacy, Dean's Office currently seeks a Project Coordinator who will assist Project Leaders and will work under general supervision to assist in the Departmental and P.I. research and community programs. The Project Coordinator will utilize organizational, communication, technical and coordination skills in addition to analytical skills. The individual will also be responsible for simultaneous communication, coordination, and tracking of deliverables for several research programs; and for supporting their implementation activities, as well as organizing and executing meetings and events, and completing special projects as assigned.

Key Responsibilities

  • Applies professional or research concepts to perform analysis of data and systems pertaining to moderately complex projects, policies, initiatives, / processes, and / or functions.
  • Gathers and assembles analytical and factual data on assigned problems and issues to prepare reports and / or analyses summarizing information on the assigned issues and commenting on other significance for internal or external constituents.
  • Prepares, edits and modifies documents including research reports, manuscripts, presentations and proposals.
  • Assists project leader(s) in developing plans for research projects and discussion of the interpretation of results; collaborates on the preparation of manuscripts for publication. Reviews journals, abstracts and scientific literature to keep abreast of new developments and to obtain information regarding previous studies to aid in the planning of new studies. Drafts communications for newsletters and website updates, in alignment with UCSF brand identity standards as posted at identity.ucsf.edu.
  • Using subject matter knowledge, collects and prepares information for use in discussions, meetings of internal and external constituents.
  • In consultation with PI, creates agenda and organize regular meetings.
  • With a high degree of independence, plan and organize and facilitate international and domestic program meetings/teleconferences by assessing conference or meeting needs, resources, and constraints in order to establish and implement support.
  • On a project basis, performs analytical studies on a variety of policies, research initiatives, programs and issues.
  • Provides a variety of analytical duties in support of a function, research initiative, program and / or organizational unit.
  • Assists with data management. Provides support to other monitoring and evaluation initiatives including data entry.
  • Participates in administrative / research policy and program project planning and development.
  • Assist in the coordination of program planning and collaboration with other project teams
    • Coordinate program activities and communication among core team and collaborating partners
    • Participate and assist in preparation of regularly scheduled meetings with in-country project teams
    • Participate in calls; maintain awareness of status of activities and assist where needed
    • Manages calendar, assists in procurement functions
    • Provides admin support to the Center for Faculty Development to include faculty development events and programs sponsored by the school and other campus sponsored events.
  • Assist in the planning and management of key activities and projects to be conducted
    • Capture and summarize weekly/monthly team and partner meetings through minutes and ensure timely distribution of minutes and action items
    • Prepare briefing materials and meeting packs
    • Prepare and organize comprehensive research and/or materials for meetings, calls, and other reading resources
    • Undertake literature searches and analyses of background information and other knowledge management initiatives to be part of the programs
    • Report on status of assigned projects during team meetings and take on additional tasks
  • Provides recommendations and guidelines involving programs / initiatives.
  • Coordinates program planning and collaboration with program / project staff.
  • Provide high level support for other faculty members including but not limited to: scheduling meetings, preparing presentations, providing technology set up, catering, CV updates, calendaring or other requests.

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Working knowledge of common organization- or research-specific and other computer application programs
  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing
  • Proficient in ability to use discretion and maintain all confidentiality
  • Demonstrates ability to use sound judgment in responding to issues and concerns
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail
  • Proficient in ability to multi-task with demanding timeframes
  • Bachelor's degree in related area and one year of experience and/or equivalent experience/training
