Description

Brown and Caldwell (BC) is seeking a full-time Health and Safety Records Administrator to support our Corporate H&S Team. Our ideal candidate is a motivated individual who is tech-savvy, enjoys multi-tasking and interacting with fellow co-workers and multiple data systems. This position will provide a variety of support functions from helping the team manage employee H&S records, support H&S training management, and interfacing directly with BC employees and local H&S Coordinators on H&S administrative support topics.

Detailed Description:

This role will provide general support to not only the internal Corporate H&S Team but as-need assistance to employees, project teams and local office H&S representatives related to training and other records management that includes administrative review and processing of project H&S Plans. Specific duties include the following:



  • Lead implementation of the project-specific H&S Plan submittal and review process, which includes leading coverage of the SafetyPlanReview Outlook inbox and processing submitted records prior to distribution to applicable business unit-specific H&S Manager.
  • Manage the Saftey Manager Outlook inbox. This includes processing employee submitted records as relevant to internal company procedures and guidance within electronic files and BC's Learning Management System (LMS) (a.k.a. TalentView Learning (TVL), as well as escalating technical questions to applicable corporate H&S staff for further review and response.
  • Manages training vendor contracts and training content within BC systems. Additionally, supports local H&S representatives and/or project managers with the coordination of in-person training delivery (i.e., from approved vendors for specialty training (e.g., first aid/CPR, Confined Space Entry, etc.)
  • Coordinates scheduling and logistics for virtual and classroom training program with corporate H&S Managers and other BC H&S trainers, including setting up Outlook invitations and event schedules in TVL.
  • Support, on as-need basis, local H&S representatives through assigning training on their or supervisor's behalf, conducting H&S New Hire Orientation (NEOs) when local representatives are unavailable or for virtual employees, and other as-need support tasks related to H&S training or the LMS including managing system permissions.
  • Serving as lead facilitator in coordinating with BC's medical provider in scheduling employee routine exams and processing medical clearance documentation. This includes scheduling of vaccination appointments when applicable or request by employees.
  • Supports corporate H&S Managers with uploading of submitted leading indicator deliverables that includes, but may not be limited to, H&S audits, work observations, monthly hours worked, and other similar metrics to electronic management systems.
  • This role has the potential to work virtually and can be filled near any BC office, preference of Denver, Orlando, Nashville, or Walnut Creek.


Desired Skills and Experience:



  • Bachelor's degree preferred, However, depending on work experience, Associates degree or equivalent may be acceptable.
  • Environmental Health and Safety Support Experience: 2-5 years' experience in H&S operations of engineering services, industrial or municipal operations where a basic working knowledge of OSHA regulations and compliance has been developed.
  • Experience with training technologies and Learning Management Systems
  • Experience with Software as a Service (SaaS) systems and/or other similar electronic systems use to facilitate, document, track, and/or report in areas of H&S, preferred.
  • Proficiency with Microsoft 365 applications, formatting, proof reading, and basic video editing
  • Software proficiency: familiarity with other commonly used data systems or applications (e.g., SharePoint, MS Teams, etc.)
  • Analytical Skills: Strong analytical and problem-solving abilities, including attention to details, accuracy, and completeness as well as a commitment to producing high-quality deliverables.
  • Self-motivation: Self-motivated with the ability to take initiative and work independently
  • Multi-tasking: Able to manage multiple priorities in a fast-paced environment

  • Excellent interpersonal skills
  • Ability to develop and deliver effective group and individual training
  • Organized to efficiently manage content updates/replacement and coordinate trainer logistics and scheduling.


Salary Range: The anticipated starting pay range for this position is based on the employee's primary work location and may be more or less depending upon skills, experience, and education. These ranges may be modified in the future.

Location A: $65,000 - $88,000

Location B: $71,000 - $97,000

Location C: $78,000 - $106,000
