Position Summary |
In this role, the employee will provide administrative support to the Director of Active Learning as part of UGA's
QEP Accreditation plan (more details
here). This employee's primary responsibilities will be to oversee office management, coordinate meeting events, and assist with external communication strategy and implementation. |
Knowledge, Skills, Abilities and/or Competencies |
- Ability to work independently and efficiently
- Great teamwork skills, including communicating proactively and meeting all deadlines dependably
- Robust organizational skills (proactive, detailed, and solution-oriented planning)
- Experience with budgeting and purchasing
- Proficient in Microsoft 365 and/or Google G Suite
- Experience in event organizing and implementation
- Ability to interact effectively with the public (e.g., strong interpersonal skills and effective oral and written communication)
- Ability to develop and implement a communications strategy involving traditional and social media
- Strong ability to create digital designs that include visually compelling layouts and elements and are in compliance with UGA's branding guidelines
- Experience with web design and maintenance using WordPress

Financial Support:
- Oversee the purchase of supplies and services through UGA's invoicing and payment processes.
- Work with the Director of Active Learning to monitor AL's $1.2 million annual budget, substantiating financial transactions, collecting data, and updating balance sheets.

- Provide general administrative support for Active Learning initiatives by ensuring office procedures are in place and running smoothly, and visitors and written correspondences are addressed, filing systems are maintained, technical equipment is working, and supplies are delivered to key stakeholders around campus.

Meeting & Event Coordination
- Coordinate meetings, conferences, and special events (including the Active Learning Summit and smaller events targeting students, staff, and faculty). For events, duties may include coordinating logistics, communicating with venues, hiring and coordinating third-party vendors (e.g., photographer), distributing invitations and flyers, ordering all supplies, and assisting with set-up and breakdown of the event. For conference preparation, duties may include confirming conference registrations, making travel arrangements, accommodations, and itineraries as needed.

Communications
- Assist the Director in drafting and updating content for the Active Learning Initiative website and social media.
- Work with the Director to conceive and implement a comprehensive communication strategy involving the website, listservs, social media (e.g., Instagram and LinkedIn), and other media.
- Work with team members to make strategic decisions regarding content selection and presentation to engage and inform our UGA community and external audiences.
- Remain up-to-date on UGA's marketing and communication guidelines to ensure direct compliance.
- Manage the communications calendar and post engaging content
- Create print and digital branding materials that are visually compelling, content-rich, and aligned with UGA's marketing and communication guidelines.
- Work with the Director to create content for listservs, newsletters, and external publications
- Design and implementation of content for the Active Learning website using WordPress.
