The University of Southern Indiana's Facility Operations and Planning department seeks an outstanding individual to join our team as a full-time Senior Administrative Assistant.

This position works closely with the Administrative Associate, Associate Director, and Director to process work orders and provide general clerical support.

Essential Functions:

  • Serve as an administrator for the TeamWorks work order system.
  • Assign new staff mini-computers and train them on simple operations.
  • Process requisitions into the procurement system and track them until they become purchase orders. Annually process an extensive number of standing purchase orders.
  • Assist in preparing departmental chargebacks on all completed work orders.
  • Reconcile invoices and properly post them against the correct purchase order or credit card statement.
  • Perform other clerical work as required, including typing, filing, answering telephone, and generating reports.



Essential Knowledge and Skills:

  • High School/GED required. Associate degree or some college coursework strongly preferred.
  • Two years' experience or work/studies involving extensive computer work or expertise.
  • Proficiency with computers, word processing, spreadsheet, database, electronic mail, presentation, and internet software required.
  • Knowledge of scanners and personal data assistants.
  • Must project a positive, professional demeanor with outstanding customer service orientation.
  • Excellent interpersonal, organizational, and time management skills required. Strong oral and written communications skills required.
  • Ability to maintain confidentiality of sensitive material and information required.
  • Ability to exercise judgement in applying guidelines, policies and practices in non-routine situations. Creative problem-solving and independent thinking.
  • Ability to work independently with very limited supervision exercising initiative and sound judgement with a high level of tact and diplomacy.
  • Knowledge of Banner, work request software or similar software preferred.
  • Strong attention to detail with multiple priorities and deadlines.
