Overview

The Biopathology Center (BPC) within the Abigail Wexner Research Institute at Nationwide Children's Hospital (NCH) is a primarily grant-funded biorepository with the objective of acquisition and long-term storage of a large number of cancerous, normal, and diseased biospecimens and related data. The BPC currently serves as biorepositories for several cancer cooperative groups funded by the National Cancer Institute (NCI), as well as several other sponsors. The BPC is accredited by the College of American Pathologists (CAP) Biorepository Accreditation Program (BAP). The BPC is a fast-paced, team-oriented environment that requires the ability to work well under pressure and maintain constant attention to detail. This position requires frequent communication and collaboration via email and phone with all BPC service lines. The BPC does not perform hypothesis-based research on the biospecimens - we serve a supporting role to facilitate clinical testing and research. The Business Operations Coordinator will be responsible for providing support primarily to the Business Manager and BPC Business and Project Development Director. The Business Operations Coordinator will assist with administrative functions including invoicing and other grant financial management activities. The position will coordinate data from various sources and generate reports for the department and/or sponsor groups. Proficiency in working with Microsoft Excel and data compilation are essential to this position. A science or health care background is preferred; this position requires an understanding of biospecimens and laboratory operations. An understanding of research funding mechanisms or financial management experience is preferred. Attention to detail, organization, and time-management skills are essential to the success of this position.

Responsibilities

PRINCIPAL DUTIES AND RESPONSIBILITIES

    Pulls, analyzes, and compiles large data sets for reporting to sponsors, invoicing, and assists with grant financial management activities. As needed, pulls and compiles reports for other internal areas (e.g., for process monitoring).
  • Assists in the preparation of grant applications and progress reports as appropriate - including working closely with others to compile data and update information.
  • Assists in preparing budgets for standard biobanking services.
  • Demonstrates knowledge of and upholds applicable laws and regulations related to the position. Maintains knowledge of applicable procedures and policies. Reviews and acknowledges procedures and policies as required.
  • Demonstrates the ability to make determinations regarding course of action and alternatives by addressing problems and using resolutions and basic troubleshooting skills. Able to resolve technical, computer, and customer service problems. Performs basic problem solving.
  • Maintains a safe, clean, and organized working environment. Follows established guidelines for disclosure of patient information.
  • Consistently pursues opportunities for continuous improvement. Contributes to process development and improvement projects within the BPC, especially relating to financial management. Attends, if necessary, sponsor group meetings, teleconferences, and other biorepository-related meetings, acting as a representative of the BPC.
  • Communicates respectfully with coworkers, staff, patients, parents and clients. Continuously strives to provide customer service in an efficient and effective manner to assure customer satisfaction.
  • Attends continuing education seminars, workshops and group meetings relevant to the BPC.
  • Performs other related duties as assigned or required.


Qualifications

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  1. Bachelor's degree from an accredited college or university or equivalent experience plus education required.
  2. Business experience in an administrative capacity required; experience in fiscal management or budgeting preferred.
  3. Experience in generating and analyzing reports in various software applications (Excel, SharePoint) required.
  4. Experience in submission and management of grant and contract funding mechanisms preferred.
  5. Strong written and verbal communication skills, as well as excellent interpersonal and collaboration skills.
  6. Ability to manage a diverse and demanding workload independently; self-motivated.
  7. Organization and time management/prioritization skills with the ability to work independently to ensure deadlines are met.
  8. Excellent analytical skills, and attention to minute detail; objectivity; ability to extrapolate requirements to various situations; demonstrated problem-solving skills.

MINIMUM PHYSICAL REQUIREMENTS

Note frequency as Constantly (67-100%), Frequently (34-66%) and Occasionally (0-33%) for each requirement. Also note any lifting requirements with pound limit.

Pressure in this position will vary depending on the workload. The workload will be heavy but manageable most of the time. Pressure may arise in the deadlines associated with grant proposals and reporting requirements or inspections.
