Position Summary:
We have an exciting opportunity to join our team as a Employee Health Coordinator - Full Time, Days - Occupational Health Services - Monday - Thursday 8:00AM - 4:00PM; Friday 7:00AM-3:00PM.

In this role, the successful candidate The Employee Health Coordinator supports the daily administrative and operational functions of Occupational Health Services by facilitating client intake, coordinating office workflow, and maintaining accurate and confidential employee health records in accordance with organizational requirements. Serves as a primary point of contact for employees, voluntary attending physicians and other individuals requiring Occupational Health services, assessing administrative needs and directing individuals to the appropriate clinical team member.
Reviews health records and required documentation for completeness and identifies outstanding requirements necessary to support medical clearance and eligibility in accordance with organizational policies and applicable regulatory requirements, including but not limited to CDC, Department of Health (DOH), and Occupational Safety and Health Administration (OSHA) standards. Maintains electronic records, performs accurate data entry, schedules and coordinates appointments, monitors client flow, and retrieves information as authorized while maintaining confidentiality. Supports departmental operations through data tracking, report generation, schedule management, and preparation of statistical and operational reports as requested by department leadership.

Job Responsibilities:

Performs a broad range of administrative and clerical functions to support the efficient daily operations of Occupational Health Services. Provides timely, accurate, and confidential administrative support to department leadership and clinical staff.

Provides professional front-desk and reception support, including managing multiple telephone lines, retrieving and responding to messages, screening inquiries, and routing calls to the appropriate clinical or administrative team member. Coordinates and maintains the departments computerized appointment schedules for services including employee health evaluations, vaccinations, medical clearances, return-to-work evaluations, pre-employment health assessments, blood draws, and occupational injury evaluations.

Coordinates Occupational Health clearance processes for applicable populations. Reviews submitted health documentation for completeness and verifies that established clearance requirements have been met in accordance with organizational policies and applicable regulatory guidelines. Escalates incomplete documentation, discrepancies, or clinical questions to the appropriate Occupational Health practitioner.

Maintains accurate and confidential electronic health and administrative records. Performs data entry, document management, scanning, record retrieval, and other recordkeeping functions in accordance with departmental procedures, HIPAA requirements, and organizational confidentiality standards.

Supports department workflow by monitoring schedules, coordinating appointments, communicating requirements and instructions, and assisting with follow-up of outstanding documentation to facilitate timely completion of Occupational Health processes.

Compiles, validates, and maintains Occupational Health data and departmental metrics, including monthly operational statistics and data. Generates reports, spreadsheets, and other data summaries to support departmental operations, regulatory reporting, quality initiatives, and leadership review.

Provides administrative support to department leadership, including preparation of reports and correspondence, meeting coordination, supply and resource tracking, and other operational activities as assigned.

  • Maintains adequate inventory of office and administrative supplies to support uninterrupted department operations. Monitors supply levels, identifies replenishment needs, and coordinates ordering and restocking. Assists with ordering and maintaining clinical supplies as directed by Occupational Health clinical staff or department leadership and in accordance with established departmental processes.

Collaborates with Occupational Health clinical staff, department leadership, Human Resources, and other internal and external stakeholders to facilitate efficient coordination of employee health services.

Performs other duties as assigned and supports additional departmental initiatives based on operational needs.

Minimum Qualifications:
To qualify you must have a High School or GED required. 1-2 years Experience. Excellent communication (both oral and written), detail-oriented, organizational skills. Able to prioritize tasks. Shift flexibility, ability to work efficiently under pressure. Able to work in a team environment. Basic computer skills.

Preferred Qualifications:
Familiarity with Epic System
Proficient in the use of Microsoft Excel, Word, PowerPoint and Outlook
Prior experience in a healthcare setting
Familiarity with vaccinations and additional New York State Department of Health requirements for Health Care Workers

The salary range for the role is $46,295.96 - $61,182.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
