Departmental Overview

As a central service center for the entire campus, the Graduate Division works to guide and assist students from the moment of admission, through the various milestones of their progress, to the completion of their degree requirements. We provide academic, personal, and professional support services that are vital to the everyday well-being and life-long successes of Berkeley master's, professional, and doctoral students.

As the authoritative resource and chief advocate for graduate education, the Graduate Division ensures the equitable administration of policies governing graduate studies across Berkeley's 14 schools and colleges. As the administrative arm of the Academic Senate's Graduate Council, we partner with the faculty and staff of each program and the deans of each school and college to maintain the world-renowned quality of Berkeley's graduate education.

The Office for Graduate Diversity (OGD) is located within the Graduate Division and is a program designed to support the outreach, recruitment, admission, academic success, and graduation of students who will enrich the diversity of graduate programs at the University of California, Berkeley. The ultimate goal of the OGD Program is to increase campus graduate student diversity through recruitment, academic and social support, admission advising, creation and support of communities and networks, creation of mentoring opportunities, developing methods to support undergraduate programs to prepare diverse students for graduate school, and providing campus leadership on graduate student diversity.

Position Summary

To support and expand the vision and goals of OGD, the Graduate Division launched the Inclusive Excellence Hub in 2023 and is the first campus-wide community space dedicated exclusively to increasing excellence through diversity and belonging among Berkeley's graduate students. Under the direction of the Assistant Dean for Graduate Diversity and with a dotted line to the Graduate Division's Events and Facilities Manager, the Inclusive Excellence Hub Coordinator will serve as the lead staff on duty at the Inclusive Excellence Hub (2515 Channing Way). This position will oversee the facilities management, operations, and logistics of the Hub and provide administrative coordination of the Hub and administrative support to OGD staff and students.

Responsibilities

Oversight of Hub Facilities, Operations, and Safety - 40%

The Inclusive Excellence Hub Coordinator will oversee the facilities, operations and safety of the Inclusive Excellence Hub and is responsible for the following duties:

  • Oversees the daily operations duties, including but not limited to opening and closing the building, and advising and coordinating protocols that promote a safe environment for Hub staff, students, and guests.
  • Serves as a liaison with campus and external agencies regarding safety, access and as needed for logistical support.
  • Serves as the point of contact in high risk or escalated situations, and provides guidance and support, especially for issues that may require escalation.
  • Serves as the Building Coordinator for campus emergency/disaster preparedness, serves as the communication liaison between campus service agencies and building occupants, and prepares building response plans and coordinates education and planning in this area for all building occupants.
  • Assists as Department Access Controller for card key requests with UC Police Department (UCPD); maintains department records and manages distribution of keys and access cards for staff residents, vendors, and contractors.
  • Reports any building maintenance issues to the Graduate Division Facilities Manager.
  • May act as representative of organization safety committee, organization building emergency committee, and organization ergonomic program, and is responsible for departmental compliance with OSHA / EH&S regulations regarding state and organization policies and procedures, and works to implement safety and emergency preparedness policies and procedures with staff, including maintaining first aid supplies, fire extinguishers and other safety equipment.
  • Acts as department equipment custodian through the equipment tracking system(s) and conducts department inventory controls, including processing and maintaining records of equipment insurance requests.
  • Acts as department representative for department / organization special projects related to department facilities.
  • Conducts regular, periodic rounds to inspect indoor and outdoor areas for security, fire and accident hazards and takes appropriate action as required, including reporting infractions of fire and building codes, building rules and other building irregularities to management.
  • Works with management to coordinate and manage capital improvement projects with Capital Projects; works with onsite contractors and other vendors to coordinate work schedules, facilitate emergency access, and track progress of work.
  • Coordinates and carries out department signage, display, and promotional needs.

Administrative Coordination and Support - 40%

  • Coordinates calendar requests for conference rooms and study spaces, ensuring priority in reservations for OGD programs.
  • Cultivates a welcoming environment through customer service to graduate and undergraduate students accessing the Hub and its resources.
  • Maintains inventory of supplies and places supply orders; processes requests in BearBuy for new orders as needed/requested by staff and/or the ability to learn; and processes reimbursements, food orders and payments.
  • Processes journal entries in Berkeley's Financial System (BFS) and student awards in the Student Information System (SIS).
  • Ensures that community space agreements are being maintained, including room set-ups, cleanliness, and return of borrowed equipment undamaged/in working order.
  • Designs and refines mechanisms for tracking Hub use and optimal open hours.
  • Has audio visual and printer expertise, can lead technology troubleshooting and repair and manage work-around protocols to keep programming moving forward.
  • Has a dotted reporting line to the Graduate Divisions Events and Facilities Manager.

Campus Collaboration and Outreach - 10%

  • Coordinates pop-up/office hours for campus partners to bring services to the Hub (examples: Basic Needs/Food Pantry, Career Center, GradPro, etc.).
  • Supports Office for Graduate Diversity events as needed/available, particularly annual Welcome Reception and Diversity Days.

Participates in Graduate Division staff meetings, retreats and professional development - 5%

Other duties as assigned - 5%

Required Qualifications

  • Working knowledge of practices and procedures relating to facility maintenance.
  • Thorough knowledge of and/or ability to learn University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.
  • Excellent organizational skills with ability to manage priorities with a high level of accuracy and attention to detail.
  • Punctual and reliable for scheduled work hours.
  • Strong verbal and written communication skills.
  • Knowledge, experience, and sensitivity to the needs of diverse undergraduates, graduates and faculty including first generation college scholars, and others from minoritized backgrounds.
  • Must be able to safely lift and carry 30 pounds
  • Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents.
  • Skills to work under pressure of deadlines in a stressful environment.
  • Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships.
  • Ability to use discretion and maintain confidentiality.
