Position Summary

The Administrative Assistant provides a wide variety of administrative and clerical support services to an organizational unit, and works under moderate supervision in performing a variety of tasks that require a degree of independent judgment and discretion.. This position may assist in the preparation and control of records and reports regarding operations, personnel changes, etc. Administers programs, projects, and/or processes specific to the operating unit served. Duties may be complex in nature and may involve access to confidential information, as well as include normal administrative activities such as typing, scheduling appointments, maintaining supervisor's calendar, screening calls, etc.

Hourly Rate: $20-26 depending on years of experience

Duties
  • Drafts correspondence and memos for supervisor's signature; utilizes word processing and graphics software to format and generate various materials including correspondence and memos; prepares slides and transparencies.
  • Assists staff in performance of duties; serves as informational resource in regard to the more difficult inquiries or problems.
  • Maintains manager's calendar and schedule; makes appointments; makes travel arrangements; assists in planning and implementing conferences and special events.
  • Reads and determines disposition of incoming mail; composes correspondence for routine inquiries; prepares letters and packages for mailing.
  • Conducts basic research for supervisor; compiles, analyzes, and summarizes information for reports and correspondence.
  • Receives incoming phone calls by providing information, taking messages, screening requests on behalf of supervisor, or referring calls to appropriate person; places calls for administrative personnel.
  • May monitor budgetary spending by verifying charges against budget and reconciling accounts on a monthly basis, or as needed.
  • Provides procedural information and answers inquiries related to operational; and substantive matters.
Education Degree
  • High School Diploma or GED
Required Experience
  • Knowledge of office procedures and equipment.
  • Ability to maintain calendar and schedule.
  • Knowledge of Microsoft Office.
  • Minimum of two (2) in clerical, accounting, or similar positions.

    • Six (6) months experience in the use of spreadsheets and word-processing applications.
Preferred Experience
  • Certification in office administration or equivalent experience, preferred.
  • Payroll Experience
  • Invoice Experience

Pay range for this opportunity is 20-26. This position is eligible for bonus participation.

Minimum pay rates offered will comply with county/city minimums, if higher than range listed. Pay rates are based on a number of factors, including but not limited to local labor market costs, years of relevant experience, education, professional certifications, foreign language fluency, etc.
