Position Summary

The UNM HSC Human Research Protections Office (HRPO) is seeking a goal-driven, detail-oriented individual to join our team as an Administrative Assistant to the Director, with responsibilities that also include support for Single IRB (sIRB), Administrative Review, and Post-Review functions. The HRPO supports three UNM HSC Human Research Review Committees (HRRCs) and promotes the safety and protection of individuals involved in human research by providing support, guidance, and education to facilitate ethical and scientifically sound research.

Essential Duties and Responsibilities

  • Provide administrative and programmatic support to the HRPP Director.
  • Provide administrative and programmatic support to the HRPO and its staff
  • Prepare correspondence and reports for submission to regulatory agencies and institutional leadership, including the Chancellor, Executive Vice Chancellor, and Human Research Review Committee Chairs.
  • Review, process, and reconcile invoices related to HRPO services in accordance with established policies and procedures.
  • Manage HRPO calendars, scheduling, and meeting coordination.
  • Perform administrative functions including filing, records management, telephone support, updating HRRC membership rosters, and assisting with special projects related to the Human Research Protections Program (HRPP).
  • Provide support for Single IRB (sIRB) activities, including assisting with reliance agreements and related documentation when the HRRC serves as the IRB of record and when another institution serves as the IRB of record. Collaborate with investigators, institutions, and external entities nationwide and internationally.
  • Provide backup support for Administrative Review functions during staff absences. Maintain working knowledge of Administrative Review processes and provide guidance and assistance within the Huron IRB and Click COI systems.
  • Support Post-Review activities, including coordinating HRRC meeting attendance, preparing meeting technology and materials, and assisting with preparation and distribution of determination letters through Huron IRB, including study closures and investigator additions or removals.
  • Serve as the primary reception contact by greeting and directing visitors.
  • Monitor and manage the HRPO shared email inbox and main telephone line, responding to inquiries or directing them to appropriate staff members.
  • Assist with management of departmental calendars, including scheduling researcher education sessions, consultations, staff leave, meetings, and special events.
  • Draft and prepare program correspondence, reports, newsletters, and other communications.
  • Maintain inventory of office supplies and coordinate purchasing and restocking activities. Will conduct purchasing for the office and other departments as needed.
  • Perform other duties as assigned.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Bachelor's degree preferred.
  • High level of proficiency with computer applications, including Adobe Acrobat and Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Strong attention to detail and organizational skills.
  • Experience with data entry and records management.
  • Excellent customer service and telephone communication skills.
  • Ability to understand, interpret, and follow written and verbal instructions, policies, and procedures.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Demonstrated ability to exercise discretion and maintain confidentiality when handling sensitive information.
