Job Summary
We are seeking a detail-oriented and organized Shipping & Receiving Coordinator to support daily warehouse receiving and inventory operations. This role is responsible for receiving incoming shipments, verifying materials against purchase orders and packing documentation, accurately entering inventory information into the company's inventory management system, and identifying and escalating discrepancies. The ideal candidate has strong organizational and communication skills, excellent attention to detail, and the ability to work independently in a fast-paced warehouse environment while maintaining a high level of accuracy and customer service.
Key Responsibilities
- Receive incoming shipments from carriers, suppliers, manufacturing facilities, clients, and internal locations in accordance with established procedures.
- Verify received materials against packing lists, purchase orders, and inventory system records to ensure accuracy.
- Process returned materials and accurately update inventory records as needed.
- Inspect shipments for discrepancies, missing information, or inconsistencies and promptly notify the appropriate supervisor or manager.
- Sort and organize incoming materials according to established warehouse procedures.
- Enter and update receiving and inventory information in the company's inventory management system.
- Validate product labels, documentation, and identifying information against inventory records.
- Research and obtain missing information from shipment documentation or other available resources.
- Maintain accurate and up-to-date inventory records and documentation.
- Support inventory accuracy by ensuring received materials are properly documented and processed.
- Troubleshoot receiving and inventory issues and escalate unresolved concerns appropriately.
- Maintain productivity and quality standards while adhering to all company policies and procedures.
- Provide professional and responsive service to internal and external customers.
- Collaborate with warehouse, operations, and other internal teams to ensure smooth receiving and inventory processes.
- Participate in process improvement initiatives and identify opportunities to improve efficiency and accuracy.
- Perform other warehouse, receiving, and administrative duties as assigned.
Required Qualifications
- Previous experience in shipping, receiving, warehouse operations, inventory control, logistics, or a related field.
- Strong attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to work independently with minimal supervision.
- Strong written and verbal communication skills.
- Ability to research and resolve discrepancies or inventory-related issues.
- Basic computer proficiency, including Microsoft Excel, Word, and Outlook.
- Experience using an inventory management, warehouse management, or ERP system preferred.
- Ability to work effectively in a fast-paced environment and manage multiple priorities.
- Ability to maintain accurate records and follow established processes and procedures.
- Ability to receive and handle shipments weighing 50+ pounds as needed.
Preferred Qualifications
- Experience with inventory management systems or ERP platforms.
- Experience processing purchase orders, packing lists, receiving documentation, and returns.
- Experience working in a warehouse, distribution center, manufacturing, logistics, or fulfillment environment.
- Familiarity with media, entertainment, or related industries is a plus.
- Experience working with inventory records and product/item-level data.
- Strong Microsoft Excel skills.
