Program Specialist - Vendor Direct

Location:Richardson, TX
Work Schedule:Full-time, on-site
Contract:6-month contract to start, with potential for conversion based on business needs and headcount


About the Role

The Program Specialist supports the growth and day-to-day operations of Lennox's Vendor Direct program, which includes drop-ship and non-stock product channels.

This is a tactical, execution-focused role responsible for monitoring and managing requests from Sales, coordinating with vendors and suppliers, preparing quotes, and ensuring all required information is gathered and accurately communicated back to the Sales team.

The ideal candidate will have experience withSAP and Microsoft Office, along with a background in sourcing, purchasing, order placement, quoting, or order management.


Key Responsibilities

  • Monitor and manage requests from Sales teams related to Vendor Direct products and fulfillment.
  • Partner with Sales and suppliers to execute bulk, drop-ship, and non-stock fulfillment models.
  • Obtain vendor information, pricing, product details, and other required documentation.
  • Prepare and process quotes and ensure accurate information is returned to Sales.
  • Manage vendor contracts and related documentation.
  • Maintain accurate supplier data, product catalog information, pricing, and records.
  • Process and review purchase orders, invoices, quotes, and supplier documentation.
  • Partner with Supply Chain to research and resolve order discrepancies.
  • Track requests and follow up to ensure timely completion and closeout.
  • Manage multiple requests and priorities in a fast-paced environment while meeting deadlines.


Qualifications

  • 1+ years of experience in administrative support, customer service, sales support, order management, quoting, invoicing, purchasing, sourcing, or a related field.
  • High school diploma or equivalent required; associate degree in business, supply chain, accounting, or a related field preferred.
  • Experience withSAPpreferred.
  • Proficiency withMicrosoft Office Suite.
  • Experience with sourcing, purchasing, placing orders, or vendor management is highly desirable.
  • Strong attention to detail and ability to accurately process quotes, purchase orders, invoices, and supplier documentation.
  • Strong organizational skills with the ability to maintain accurate records and documentation.
  • Ability to manage multiple requests and competing priorities in a fast-paced environment.
  • Strong analytical and problem-solving skills, particularly when identifying and resolving discrepancies.
  • Ability to learn new systems, processes, and product information quickly.
  • Strong communication and follow-up skills when working with Sales, suppliers, and internal teams.


Ideal Background

Candidates with experience inpurchasing, sourcing, order management, sales operations, quoting, vendor coordination, or supply chain supportwill be well aligned with this position. Experience working withSAP, vendor pricing, purchase orders, and supplier documentationis a strong plus.
