Job Summary

The Benefits Coordinator is responsible for the day-to-day administration and processing of the company's employee benefit and leave-of-absence programs. This position processes benefit enrollments, changes, and terminations; administers retirement plan transactions; maintains benefit data and records; assists associates with benefit questions and issues; and ensures benefit transactions are completed accurately and in a timely manner across ADP and applicable vendor and carrier systems.

The Benefits Coordinator works under the direction of the Benefits Manager and is responsible for taking assigned benefit and leave transactions and employee issues through resolution, including appropriate follow-up with associates, Payroll, carriers, vendors, and other internal resources.

The Onsite Human Resources Service Coordinator (HRSC) serves as the primary HR partner at the branch level, providing hands-on support across the full associate lifecycle.

Ideal Candidate

The ideal candidate is highly organized, detail-oriented, service-driven, and able to independently manage multiple transactions, deadlines, and employee requests while maintaining accuracy and confidentiality.

They take ownership of their work through completion, proactively follow up on outstanding items, research discrepancies rather than simply forwarding them, and communicate clearly with associates and internal and external partners. They are comfortable working across multiple systems, identifying discrepancies in information, and escalating issues appropriately when additional guidance or authority is required.

Benefits Administration (45%)

  • Process new-hire enrollments, qualifying life events, benefit changes, cancellations, and terminations for all company benefit plans in ADP and applicable vendor systems.
  • Administer employee benefit elections and transactions accurately and within applicable effective dates and processing deadlines.
  • Respond to associate questions regarding benefit plans, eligibility, enrollment, coverage, premiums, and benefit processes.
  • Research benefit questions, discrepancies, and coverage issues and work with carriers, vendors, Payroll, and the Benefits Manager as necessary through resolution.
  • Maintain accurate benefit data across ADP and carrier systems and verify that employee enrollment information is accurately reflected by applicable carriers.
  • Monitor carrier connections and file feeds and participate with ADP and carriers in researching errors, testing corrections, and implementing required file changes.
  • Identify benefit deduction discrepancies and coordinate necessary payroll deduction corrections with Payroll.
  • Maintain benefit premium information and support the reconciliation of carrier invoices, employee deductions, and benefit records.
  • Maintain accurate benefit records and supporting documentation.

Retirement Plan Administration (15%)

  • Process and maintain 401(k) enrollments, contribution elections, changes, and other retirement plan transactions within ADP and applicable retirement plan systems.
  • Monitor employee eligibility and elections to ensure transactions are processed in accordance with plan requirements.
  • Administer and coordinate participant transactions, including loans, withdrawals, distributions, and other retirement plan requests, in accordance with established procedures.
  • Coordinate retirement plan transactions affecting payroll deductions, loan repayments, or contribution elections with Payroll and applicable vendors.
  • Research discrepancies and work with the Benefits Manager, Payroll, recordkeeper, and TPA to resolve participant and transaction issues.
  • Maintain complete and accurate retirement plan records and documentation, and support the Benefits Manager with retirement plan reporting, compliance activities, and the annual 401(k) audit.

Leave of Absence & Disability Administration (25%)

  • Administer employee leave-of-absence programs, including FMLA, ADA, personal, military, and applicable state leave programs, under the oversight of the Benefits Manager.
  • Establish and maintain leave and accommodation records, track required documentation, and monitor leave status and applicable deadlines.
  • Communicate with associates regarding leave requirements, documentation, status, benefit continuation, and return-to-work requirements.
  • Coordinate with STD/LTD vendors regarding employee claims, eligibility, status, and benefit payments.
  • Administer employee benefit premiums during unpaid or partially paid leaves, including communicating amounts due, issuing required notices, tracking payments, and coordinating appropriate benefit or payroll adjustments.
  • Maintain accurate leave logs, documentation, and confidential records.
  • Identify complex, unusual, or potentially high-risk leave or accommodation matters and escalate them to the Benefits Manager.

Open Enrollment, Employee Support & Benefit Events (10%)

  • Support the Benefits Manager in the execution of annual open enrollment and year-round qualifying-event enrollment activities.
  • Process and verify enrollment elections and assist with system testing and validation.
  • Respond to associate enrollment questions and provide assistance with benefit processes and available resources.
  • Assist with benefit communications, meetings, open houses, wellness initiatives, flu clinics, and other benefit-related events.
  • Assist with coordination and follow-up related to benefit vendors and employee benefit initiatives.

Compliance, Reporting & General Support (5%)

  • Maintain accurate, complete, and audit-ready benefit and leave documentation.
  • Prepare routine reports and documentation and support benefits, retirement, and leave audits as directed by the Benefits Manager.
  • Review assigned work queues, pending transactions, and outstanding issues regularly to ensure work remains current and deadlines are met.
  • Identify discrepancies, process gaps, recurring problems, or unresolved vendor issues and bring them to the attention of the Benefits Manager.
  • Participate in benefits-related projects and process improvements.
  • Maintain confidentiality of employee and company information.
  • Follow company policies, procedures, benefit plan requirements, and established department processes.
  • Ensure timely and professional communication with associates, coworkers, carriers, and vendors.
  • Perform other duties as assigned.

Required:

  • High school diploma or GED equivalent.
  • Minimum of 2 years of hands-on employee benefits administration experience, including experience with employer-sponsored retirement plans and leave-of-absence administration.
  • Experience processing benefit enrollments, changes, qualifying life events, and terminations in an HRIS or benefits administration system.
Preferred:
  • 3 or more years of employee benefits administration experience.
  • Experience administering 401(k) plan transactions, including enrollments, contribution changes, loans, withdrawals, and distributions.
  • Experience administering FMLA, ADA, STD/LTD, personal leave, and other leave-of-absence programs.
  • Experience with ADP Workforce Now and benefit carrier or retirement plan recordkeeping systems.
  • Associate's or bachelor's degree in Human Resources, Business Administration, or a related field.
Knowledge & Skills:
  • Working knowledge of employee benefit programs and benefit administration processes.
  • Working knowledge of FMLA, ADA, COBRA, HIPAA, ERISA, Section 125, and other regulations applicable to assigned responsibilities.
  • Working knowledge of 401(k) and employer-sponsored retirement plan administration.
  • Ability to accurately process and audit benefit transactions across HRIS, carrier, and vendor systems.
  • Strong organizational and prioritization skills with the ability to manage multiple deadlines and pending transactions.
  • Strong attention to detail and ability to identify discrepancies between systems, coverage, deductions, and employee records.
  • Strong research and problem-solving skills with the ability to follow issues through resolution.
  • Ability to communicate benefit and leave information clearly and professionally to associates and managers.
  • Ability to work effectively with carriers, vendors, Payroll, and other HR team members.
  • Ability to maintain confidential employee information and exercise appropriate judgment when handling sensitive matters.
  • Proficiency with HRIS and benefit administration systems; experience with ADP Workforce Now preferred.
  • Ability to work independently within established procedures and appropriately escalate matters requiring additional review or authority.
Physical Demands:
  • Must be able to use standard office equipment such as computers, phones, photocopiers, etc.
  • While performing the duties of this job, the employee is required to talk or hear. The employee frequently is required to sit; stand; walk; use hands to finger, handle, or feel, and reach with hands and arms
  • Travel to branch locations as needed.
