Job Purpose:
This position will be responsible for managing the day-to-day operations of the office, including administrative tasks, managing the front desk and budget responsibilities for office supplies and events. Will work closely with all teams to ensure that tasks are accurately and thoroughly completed within designated timelines.
Job Duties:
- Manage the day-to-day operations of the office, including administrative tasks and certain financial management tasks. Will be responsible for incoming calls, correspondence and general inquiries.
- Will serve as the primary point of contact for employee inquiries and internal communications.
- Develop and implement office policies and procedures to ensure the smooth running of the office. Maintain compliance with HR policies and Minnesota labor regulations
- Update proof of insurance for the company.
- Manage the collection for new customers and insurance renewals for existing and new customers.
- Responsible for Uniform Commercial Code (UCC) monitoring, maintenance and termination as required based upon customer base.
- Create and implement on boarding for the hiring of new staff members.
- Manage the office calendar and schedule appointments and meetings as required.
- Schedule and plan for the following but not limited to: bi-annual sales meetings, corporate visits, company lunches, charity events etc.
- Maintain accurate records of all office transactions and ensure that all records are up to date.
- Provide administrative support to the Vantage executive team.
- Manage facilities and other office support services.
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement layouts and office systems.
- Assist with the planning, executing and maintaining the budget for all company events including customer visits and sales meetings.
- Collaborate with leasing, credit, marketing, and accounting as needed on projects.
- Backup for lease administration for data entry.
- Collect and distribute the mail daily, including FedEx packages or documents that need to be scanned, processed and or filed in the fire safes.
- Ensure the office is stocked with all essentials and supplies.
- Oversee office equipment including computers, monitors, and peripherals; troubleshoot issues and coordinate repairs to ensure minimal downtime.
- Will perform special projects as assigned.
Education, Job Skills and Qualifications:
- Associate's degree or equivalent work experience.
- 3-5 years' experience in office management.
- Minimum 3 years' experience working in a corporate setting.
- Strong leadership skills.
- Excellent communication skills.
- Acts with integrity.
- Dedicated work ethic.
- Able to work independently and in a team setting.
- Creative along with problem solving skills.
- Strong attention to detail.
- Ability to multitask and maintain organization on all projects.
- Excellent computer skills, including proficiency in Microsoft word, Excel Outlook and PowerPoint.
Basic Qualifications:
- Associate's degree or equivalent work experience.
- 3-5 years' experience in office management.
- Minimum 3 years' experience working in a corporate setting.
