As a Contingent WorXX Coordinator, you will manage the day-to-day operations of IDEXX's Contingent WorXX Center of Excellence Program, serving as the primary liaison between hiring managers, third-party staffing vendors, and program stakeholders.

The Contingent WorXX Center of Excellence Program keeps CW requisitions, worker changes, and weekly billing processes running smoothly, while maintaining compliance with contingent workforce policies and vendor management system protocols.

In This Role:

Program & Vendor Management

  • You'll serve as a point of contact for third-party vendors, addressing program and operational questions in a timely, professional manner.

  • You'll host and lead vendor spotlight calls to review new agency contractor needs with engagement managers and give vendors a chance to ask sourcing questions.

  • You'll ensure vendors adhere to contingent worker policies and established rules of engagement.

Requisition & CW Lifecycle Support

  • You'll guide hiring managers through opening new requisitions and processing worker changes (extensions, rate changes, terminations, and more).

  • You'll maintain accurate and up-to-date records within the Vendor Management System (VMS) and Workday.

  • You'll track requisition status and follow up with managers and vendors to keep the pipeline moving and fill requisitions quickly.

Billing & Rate Compliance

  • You'll support weekly consolidated billing for third-party vendors via the Vendor Management System.

  • You'll apply your working knowledge of markups, bill rates, and pay rate structures to validate invoices and resolve discrepancies.

  • You'll identify process gaps and recommend improvements to program efficiency.

What You Need To Succeed:
  • 5+ years of experience in contingent workforce management, staffing operations, customer service, or vendor management.

  • Hands-on experience with a Vendor Management System (VMS).

  • Understanding of contingent workforce policies, bill rates, and markups.

  • Strong verbal and written communication skills, with the confidence to lead vendor-facing calls.

  • Excellent organizational skills, with the ability to multi-task and manage competing priorities.

  • Ability to work in a fast-paced environment.

  • Detail-oriented, with strong follow-through on open items.

  • Comfortable interfacing with stakeholders at varying levels, from vendors to managers to program leadership.

  • Adaptable and proactive in resolving operational issues.

  • Proficiency in MS Suite (Excel, Word, PowerPoint, Outlook, Teams).

  • Working knowledge of Workday is a plus.

  • This is a hybrid role based out of our Westbrook, ME headquarters, with a minimum expectation of 8 days a month onsite.
