Job Summary: |
Key Responsibilities: Rural Program 50%
Coordination of Rural Program 1st year elective, including managing student roster, updating schedules and session learning objectives, reserving classrooms, arranging/maintaining supplies, contacting guest speakers, updating Canvas course, tracking attendance, submitting grades, etc. Administrative support for Rural Program including event/mtg coordination, admin support for faculty and students (arranging travel, reimbursements, etc.). Responsible for purchasing educational supplies and food orders for events, reconciling expense reports, and managing inventory.
DFM MSE 50%
Coordination of FMMD courses, including Acting Internships (AIs) and electives. Responsibilities include managing student enrollment, updating Canvas course and Oasis course catalog, reserving classrooms, arranging/maintaining supplies, contacting guest speakers, submitting AHEC housing rotations, communicating with clinical rotation sites, ensuring sites and students receive necessary paperwork and evaluations, and students complete required credentialing. Update and maintain database of students interested in family medicine, FM course participation, and alumni/grad contact info. Collaborate with Director of AIs and electives for annual continuous quality improvement (CQI) process Attend monthly Alpine coordinator and Post-Clerkship committee meetings and serves as primary liaison to the School of Medicine (SOM) for FMMD courses Provide admin support for MSE faculty, students, and Family Medicine Interest Group (FMIG) in accordance with university and departmental policies. Examples: arranging travel, submitting reimbursements, purchasing and set up for meetings and events, etc. Monitor and track expenditures and assist leadership in maintaining budget awareness for FMIG and departmental activities.

Qualifications: |
Minimum Qualifications: Entry Level:
A bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
Intermediate Level:
A bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
One (1) year of professional-level experience.
Applicants must meet minimum qualifications at the time of hire Preferred Qualifications Entry Level:
One (1) year of experience working at a higher education institution. Administrative support experience in higher education, medical school or health sciences setting Prior experience working in an academic medical environment. Familiarity with curriculum management and coordination.
Intermediate Level:
Two (2) years of experience working in administrative support and/or office management, preferably in an academic healthcare setting. Administrative support experience in higher education, medical school or health sciences setting Experience with University education and procurement software (eg. Canvas, Concur, Marketplace, EMS Room Reservation and Service) and policies
Knowledge, Skills, and Abilities:
Ability to communicate effectively, both in writing and orally, with a variety of internal and external partners. Knowledge of, or ability to become fully competent in computer programs, including the Microsoft Suite (Word, Excel, PowerPoint, Outlook, Teams, Sharepoint), Canvas, Oasis, Zoom, Qualtrics, and Smartsheets. Software used will continue to change, so adaptability to new electronic programs and tools is essential. Ability to manage and perform a variety of complex assignments with considerable independent judgment and motivation, and confidentiality when appropriate. Exemplary organization skills with an ability to work with little supervision independently and as a member of a team. Ability to tolerate a high degree of ambiguity yet work effectively to fulfill the mission, goals, and objectives of the Department. Ability to multitask without missing commitments. Attention to detail and accuracy. Quick learner who is able to grasp new concepts and then successfully implement them into core tasks.

Anticipated Pay Range: |
The starting salary range (or hiring range) for this position has been established as
Entry Professional $45,017- $60,323 Intermediate Professional $48,989-$65,645.
The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
