Job Summary

Under supervision of the Business Operations Manager, act as first point of contact for the building for a broad spectrum of individuals and groups. As the Welcome Desk receptionist, responsible for responding to a variety of inquiries from students, faculty, staff, parents, and the general public. As the first point of contact for a broad spectrum of individuals and groups, respond to a variety of inquiries and create a welcoming environment. Screen and direct callers/visitors. Independently investigate questions and issues to provide assistance. Provide records management support by scanning, indexing, and retrieving documents. Serve as backup support to the Office of the Chancellor and Provost (OCP) Operations team. Administers/Revokes building access to individuals as needed. Purchasing and accounts payable duties. This position has regular access to collective bargaining information and decisions, and provides support to the senior management team regarding the confidential retention of such documents.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and / or equivalent experience/ training.
  • Professional experience working in an executive level office environment or welcome desk.
  • Accounts Payable, purchasing and business operations experience
  • Experience using various software programs (word processing, scheduling, spreadsheets, and databases) to accomplish assignments.
  • Exceptional organizational and project management skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Experience writing, editing and proofreading skills with strict attention to grammar, spelling, and punctuation to produce correspondence and other written materials that reflect the high standards and professionalism of an executive office.

Preferred Qualifications

  • Experience with UC Davis software systems such as AggieTravel, AggieBuy, PrePurchasing and Ceremonies and Events Management System (CEMS).
  • Knowledge of the relative roles of faculty, staff and administrators, and the protocols for communications and interactions between these parties in the university environment.
  • Knowledge of University of California and UC Davis campus policies and procedures.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
