About this opportunity:

Ball State University Libraries is seeking an enthusiastic and collaborative team member to join our dedicated branch services team as the Architecture Library Coordinator. Under the direction of the Architecture Librarian, this role ensures smooth daily operations and exceptional user experiences for the Architecture Library. Located in the Estopinal College of Architecture and Planning building, the University Libraries' Architecture Library branch serves faculty and students in Architecture, Landscape Architecture, Urban Planning, and Construction Management and Interior Design. Supervising a team of approximately 7-8 student assistants, the Architecture Library coordinator supports user access to collections, services, and spaces; monitors circulation services, maintains course reserves, provides assistance in the use of print and electronic resources, and ensures a safe and welcoming space for students, faculty, and community users.
Successful candidates will have customer service and operational coordination experience, including working with budgets and reports, and will enjoy contributing to student academic success. The Architecture Library Coordinator will work both independently and collaboratively with colleagues to provide excellent customer services and promote the services and collections of the University Libraries.

What you'll do and what you'll bring:

Position Function: Manage daily operations of the Architecture Library to support user access to collections, services, and spaces that support research, teaching, and learning; monitor circulation services; establish course reserves and copyright compliance; provide assistance in the use of print and electronic resources; maintain collections; monitor building security; support a collaborative work environment and service culture in order to advance the strategic direction of the University Libraries.

Duties & Responsibilities:

  • Assign and review work, orient and train student employee(s), and make recommendations as to interviewing and selection, performance appraisal, and discipline. Supervise student employee(s). Schedule student staffing for the Architecture Library.

  • In the absence of the Architecture Librarian and Building Materials Librarian, assume responsibility for security and maintaining Architecture Library/Building Material Samples Collection services; provide orientation for visitors and student groups as needed.

  • Manage the daily operations of the Architecture Library; ensure in-depth and high-quality research, circulation, and related customer service is provided to library users concerning architecture, landscape architecture, urban planning, and related fields; participate in recommending policies and procedures for the Architecture Library.

  • Establish and coordinate traditional and electronic course reserves by identifying, locating, retrieving, scanning, and linking items to faculty/class; enter reserves into the circulation system; maintain and monitor the reserve circulation system; initiate and maintain copyright approval for reserve items.

  • Manage the billing process for overdue, damaged, and lost library materials; hear and recommend approval or denial of appeals; answer questions regarding overdue fines and replacement charges.

  • Maintain library collections and manage the addition of new acquisitions; includes preparation for binding; receipt of new materials; manage and maintain interlibrary loan, holds, and recall shelves; collection inventory; deselection of appropriate materials, and coordination of actions with Collections and Resource Acquisition Services personnel.

  • Provide technical support and troubleshooting for commonly used computer software and printing applications including Microsoft Office and Adobe products; provide routine maintenance and inspection of circulating equipment.

  • Provide diversified support for the Architecture Library unit, such as: gather statistical data for reports as needed; create forms; manage supply and student wage budgets; make projections and monitor expenditures; order, store, and safeguard supplies; draft and update procedural manuals, assist with outreach activities.

  • Perform other related duties and special projects as assigned.

  • Maintain regular and predictable attendance.

Minimum Qualifications:

  • Bachelor's degree or equivalent.

  • Over one through three years of related experience.

  • Working knowledge of Microsoft Office applications.

Preferred Qualifications:

  • Coursework in library science, architecture, urban planning, environmental design, or related area.

  • One year or more of library public services experience.
