Administrative Director, Bayfront Medical Center

This Administrative Director will be responsible for the oversight of multi-specialty clinics on 2 separate floors of the Bayfront Medical Center building. They will have operational responsibilities, including financial management, people management, patient access, physician experience, patient experience and all regulatory compliance. They will oversee an on-site leadership team that will include (but not limited to), nurse managers, practice managers and practice supervisors. They will focus on strategic initiatives and operational goals that align with the True North Goals for UCSF Health. They will be responsible for facilitating the mentorship/development of their management team. They will have a critical role in collaboration with the leadership teams from the various specialty programs that are providing clinical care at this location. They will be responsible for ensuring that the clinics are operating in compliance with UCSF policies/procedures and standards of care. This AD will collaborate with key stakeholders from Ambulatory leadership, Physician leadership and the Strategy Department in developing the programming on site and planning for future expansion or program modification. They will collaborate with appropriate UCSF departments as needed.

Department Description:

Bayfront Medical Clinic is an expansion site for UCSF Ambulatory Services located at the Mission Bay Campus in San Francisco. This site operates under the hospital license. The multi-specialty clinics are located on the 3rd and 4th floors of this location. The clinics will be subject to all regulatory and Joint Commission standards that are standard for UCSF Health.

Designs and oversees afinancial processthat provides a comprehensive view of current

and forecasted clinic performance, to include revenues, costs, industry trends, and reimbursements. Ensures an infrastructure for central coordination of theclinics and I or centers financial operating budgets. Reviews and approves fiscal planning proposals for new programs and budgets. Remains informed on financial status of all clinical

operations and provides currentdetails to Ambulatory leadership regularly.

Directs the clinical and operational functions and staff. Recommends allocation of staff,

space, equipment, and other resources to optimize the delivery of clinical services. Oversees implementation of quality improvement plans. Ensures compliance with internal policies and external regulations. Has a strong focus on True North Board institutional goals. Obtains access/utilization data toinform decisions regarding space utilization and ongoing growth of services.

Reviews and approves proposals for facilities expansion, satellite development, construction, space planning, capital equipment requests, and staffing needs. Researches and prepares proposals for expansion, satellite development, construction and spaceplanning. Collaborates with Ambulatory Administrators, physician leaders and the Strategy department in reviewing expansion needs and planning. Provides project

management coordination/ leadership during any go-live or expansions of services

Responsible for employee recruitment, performance evaluation, progressive discipline,

and staff development. Works collaboratively with Labor Relations on bargaining unit issues and contract negotiations at the local level.Has a strong focus on employee

Analyzes functionality, quality, and efficiency of information systems from a best

practices standpoint. Creates and utilizes analytics to track and assess clinic performance. Proposes modifications or new systems as needed. Maintains monthly True North Rounds in the unit and engages staff in performance improvement efforts using LEAN principles.

Develops and implements patient service standards and metrics, based on best

practices. Develops managers to create a workplace culture with a focus on service excellence and employee empowerment for creativity, efficiency, engagement, quality of care, ingenuity, safety, and innovations in operations. Acts as professional role model for team members. Focuses on engagement and leadership development of direct reports.

Develops processes and analytics to assure viability of existing programs and practice

patterns, and optimize productivity, Reviews and approves proposals for operational performance improvement projects that impact marketability and service.

Minimum Requirements:

  • Bachelor's degree in related a area and/or equivalent combination of experience/training
  • Minimum 5 years of strong clinic/center management experience, with progressive expertise in practice management, scheduling, customer-service methods, incident reporting, regulatory compliance, accreditation requirements, information technology, and the policies, principles, best practices, and standards involved with effective clinic center administration
  • Excellent skills in successfully managing clinic I center administration functions
  • Skills to develop strategic plans, create benchmarks, integrate systems and fiscal management
  • Excellent and advanced managerial skills and human resources management knowledge, including staff deployment, resource utilization, budgeting and financial management, quality improvement, and program planning and implementation
  • Excellent and advanced communications skills to convey complex information clearly and concisely to all levels of staff, management, and outside agencies, with the ability to motivate, influence, and persuade others
  • Strong knowledge of relevant healthcare and clinic operations information technology, including billing systems and patient care workflows and processes
  • Strong knowledge of relevant regulatory requirements, as well as related legislative,
  • accreditation, licensing, and compliance environments

  • California RN License
