POSITION SUMMARY

As Site Business Operations Coordinator, you will serve as the operational backbone of site leadership. This position will support the Site Lead in putting priorities into action, keeping leadership aligned, and ensuring the site runs with precision and purpose. This position will help support the strategy and execution of the site, supporting various functions across a complex, fast-paced manufacturing environment.

POSITION RESPONSIBILITIES

  • Design and steward a streamlined leadership meeting cadence centered on decision-making, KPI performance, and project milestones
  • Build initiative-taking agendas; coordinate attendees, pre-reads, and intended outcomes in advance
  • Publish timely meeting notes and action logs; lead closed-loop follow-through with accountability and escalation where needed
  • Partner directly with the Site Lead to review priorities, unblock work, and keep critical initiatives on track
  • Serve as the connective tissue across the senior leadership team, ensuring alignment and accelerating execution
  • Own site-wide communications on behalf of the Site Leadership, clear, timely, and strategically aligned
  • Elevate the quality, consistency, and visual impact of presentations, announcements, and written communications
  • Build and maintain a reusable library of branded templates, slide decks, townhall frameworks, and announcements
  • Lead the end-to-end planning and execution of site town halls integrating safety, engagement, and performance messaging
  • Support the site lead and HRBP with the coordination of the annual people leader offsites designed around networking, professional development, and strategic alignment
  • Champion volunteer initiatives and team-building experiences that strengthen site culture and community
  • Orchestrate site visits from start to finish (location, agendas, attendees, visitor onboarding, hospitality, and onsite flow)
  • Deliver a high-professionalism experience for executive leadership and commercial colleagues that reflects the site's culture and capabilities
  • Manage contracts, licenses, purchase orders, invoices, expenses, and administrative workflows with accuracy and accountability
  • Arrange travel for site leadership team
  • Identify and implement process improvements that drive operational efficiency and compliance
  • Maintain organized, compliant office and storage systems
  • Leverage internal AI tools to draft communications, summarize meeting actions, build first-pass templates, and enhance operational output while applying sound human judgment and strict confidentiality standards

EDUCATION AND EXPERIENCE

  • BA/BS in Business Administration, Organizational Leadership, Communications, or related discipline preferred
  • Minimum of 3-5 years of experience in executive support, business operations, site coordination, or a similar role in a demanding environment. Manufacturing or site operations strongly preferred
  • Demonstrated experience owning leadership meeting cadences, agendas, and closed-loop action tracking
  • High proficiency in Microsoft Outlook, Teams, PowerPoint, Excel, and SharePoint
  • Strong written and verbal communication skills with the confidence and polish to engage senior leaders daily
  • Ability to manage competing priorities, operate through ambiguity, and consistently deliver on commitments
  • Canva proficiency or strong visual communication capability
  • Experience planning and executing large-scale events, town halls, or multi-stakeholder leadership offsites
  • Familiarity with procure-to-pay (P2P) processes - purchase orders, invoices, and vendor coordination

PHYSICAL REQUIREMENTS

  • The work environment includes both office and manufacturing settings
  • Approximately 90% office-based and 10% walking/standing in manufacturing areas
  • May require use of Personal Protective Equipment (PPE) such as gloves, eye protection, and protective clothing as per GMP standards
  • Potential for limited domestic and/or international travel up to 5%
