Position Summary: The Program Manager-Research is responsible for overall lab and research management and operations, working to ensure the timely development of activities and execution of deliverables within the established program mission budget and timelines. Works closely with the Principal Investigator (PI) and/or lab director and team to ensure research priorities and compliance are achieved.
Job Responsibilities:
- Develops and maintains a system for management of a multi-grant portfolio to ensure successful integration between schools, research sites and projects.
- Manages the coordination and completion of project activities on time, setting deadlines, assigning and tracking responsibilities, and monitoring and summarizing the progress of projects.
- Anticipates and ensures research projects and related activities are supported by appropriate resources (personnel, fiscal, space, and equipment).
- Prepares progress reports to funding agencies and presentations to sponsoring and regulatory agencies. Prepares and provides reports to all necessary parties (e.g., the Principal Investigator, sponsoring agency, etc.) on the progress of the study as needed.
- Organizes and leads regular operations and finance meetings.
- Maintains awareness of study regulatory status and keeps an up-to-date copy of regulatory documents. Develops and oversees submission of necessary IRB documents, including follow-up with study staff to obtain appropriate paperwork and information, and completion of continuation paperwork.
- Develops and oversees project budget. Assists in the preparation of funding reports to funding agencies.
- Oversees budgets and finances that support the work of the HEAL research staff. Create and implement both short run and long run plans to guide growth and financial stability of the research initiatives.
- Assists with data analysis, data management, and manuscript drafting, in conjunction with study PIs and Co-Investigators. Audits and manages data from and into databases.
- Prepares forms and reports, compiles and analyses data, statistics, and other materials for reports.
- Contributes to strategic planning to support continued growth of the lab.
- Interfaces and coordinates communication with key internal and external stakeholders.
- Maintains communication systems including web presence and social media presence in addition to assisting faculty on more traditional academic publication preparation.
- Performs other duties as assigned
- Provides strategic and operational leadership for end-to-end study start-up and activation activities across the CTSI Clinical Research Centers portfolio, including protocol intake, feasibility review, operational assessments, budget development, regulatory coordination, and activation readiness.
- Oversees the development and implementation of standardized center-wide start-up workflows, SOPs, operational dashboards, escalation pathways, and performance metrics to improve study activation timelines and operational efficiency.
- Leads centralized clinical trial budgeting operations for industry-, foundation-, and federally sponsored research studies, including development of comprehensive internal budgets, prospective reimbursement analyses, coverage analyses, and research billing grids.
- Collaborates with investigators, departmental leadership, OSR units, contracts, sponsored programs, billing compliance, IRB, finance offices, and institutional service providers to ensure alignment across contractual, operational, financial, and regulatory timelines.
- Oversees development and maintenance of institutional fee schedules and research service pricing methodologies to support sustainable clinical research operations.
- Partners with executive leadership to identify operational risks, financial gaps, and process improvement opportunities related to study activation and clinical research center financial infrastructure.
- Supports strategic initiatives focused on research growth, operational scalability, financial sustainability, and optimization of clinical trial activation performance throughout the clinical research centers to ensure appropriate pricing of clinical research procedures.
- Develops and delivers executive-level operational, financial, and performance reports for CTSI leadership, investigators, institutional stakeholders, and external sponsors.
- Maintains strong collaborative relationships with investigators, research administrators, finance teams, compliance offices, and institutional leadership to facilitate efficient and compliant study activation.
- Represents CTSI clinical research centers on institutional committees, operational workgroups, and strategic initiatives related to clinical research administration and research operations.
- Participates in institutional planning activities focused on research process optimization, financial stewardship, and operational innovation.
- Performs additional duties and strategic initiatives as assigned in support of CTSI and institutional research operations.
Minimum Qualifications: Bachelors degree in a relevant field with a minimum of 5 years total related progressive experience with at least 2 years serving in a lead capacity over research projects. Strong management skills, financial expertise, strategic planning skills and grant writing. Proficiency in using Microsoft applications such as Word, Excel, Access, Power Point, and Outlook. Excellent oral, written, and communication skills. Ability to interface effectively with all levels of management; must work and communicate effectively with both internal and external parties. Ability to work within a team environment and independently with limited supervisory oversight. Excellent time management skills and demonstrated ability to organize complex tasks to meet deadlines. Strong interpersonal and organization skills, outstanding judgment, initiative, and attention to detail. Preferred Qualifications: Masters degree strongly preferred. Minimum of 5 years of relevant professional experience in research or research management and interest in health policy and outcomes. Qualified candidates must be able to effectively communicate with all levels of the organization.
