What this job involves:

We are seeking an exceptional Executive Assistant to support our Global Chief Accounting Officer (CAO) and Investor Relations Officer at JLL's Chicago headquarters. This role demands a high-performing professional who thrives in a fast-paced, dynamic finance and investor relations environment while managing highly confidential financial and strategic matters. As a strategic partner to our finance leadership, you'll serve as the vital operational hub that enables our executives to focus on driving JLL's global financial reporting and investor communications forward. This position offers a unique opportunity to work at the intersection of executive leadership and corporate finance in one of the world's leading commercial real estate services firms. Your ability to anticipate needs, exercise sound judgment, and maintain absolute discretion will be essential to success in this role, particularly during critical reporting periods and investor engagement activities.

What your day-to-day will look like:

  • Managing complex calendars for both executives, proactively identifying conflicts and recommending solutions while coordinating across global time zones to optimize their schedules during quarterly earnings cycles and investor meeting periods.
  • Orchestrating travel arrangements, meeting logistics, and event planning for board meetings, investor conferences, earnings calls, and financial leadership meetings, ensuring seamless execution of all details from venue selection to presentation materials.
  • Composing correspondence, preparing financial reports and presentations, and creating polished documents for executive signature, maintaining the highest standards of accuracy and professionalism in all investor-facing and internal communications.
  • Serving as the primary point of contact and gatekeeper for the CAO and Investor Relations Officer, screening communications and redirecting inquiries appropriately while providing exceptional stakeholder service across the finance organization and investment community.
  • Processing expense reports, wire transfers, invoices, and budget allocations with meticulous attention to detail while maintaining organized executive files, financial documentation, and ensuring compliance with record-keeping requirements.
  • Supporting onboarding activities for new finance team members and collaborating closely with the broader financial leadership team on various administrative initiatives and department projects.
  • Managing sensitive and confidential financial, accounting, and investor relations information with absolute discretion, demonstrating professional tact in all interactions involving material non-public information, earnings data, or strategic financial matters.

Required Qualifications:

  • Eight or more years of progressive administrative experience with a minimum of three years directly supporting C-level executives in large global organizations, preferably within finance, accounting, or investor relations functions.
  • Proven track record of handling highly confidential and sensitive financial information with utmost professional discretion, particularly in public company environments where material non-public information requires careful management.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Microsoft Teams, with demonstrated ability to leverage technology tools to enhance efficiency, create financial presentations, and manage complex data.
  • Exceptional organizational and time management capabilities with proven ability to manage multiple competing priorities, meet tight quarterly reporting deadlines, and maintain composure under pressure during earnings cycles.
  • Superior written and oral communication skills with the ability to compose professional correspondence, interact diplomatically with investors and stakeholders at all levels, and represent executives with polish and credibility.
  • Demonstrated problem-solving abilities with a proactive mindset to anticipate executive needs before they arise, particularly during critical financial reporting periods, and recommend solutions independently.
  • Flexibility to work beyond standard business hours when necessary to support executive schedules, quarterly earnings preparations, investor meetings, board activities, and time-sensitive financial reporting requirements.

Preferred Qualifications:

  • Experience working in public company finance, accounting, investor relations, or professional services environments where understanding SEC reporting cycles and investor communications enhances executive support effectiveness.
  • Familiarity with financial terminology, accounting concepts, earnings processes, and investor relations activities that would accelerate your ability to support CAO and IR-specific functions and communications.
  • Background in planning and executing earnings calls, investor days, board meetings, or shareholder events with multiple stakeholders and complex confidentiality requirements.
  • Ability to quickly learn new financial systems, reporting platforms, and business processes when faced with changing regulatory requirements or technology implementations.
  • Strong interpersonal savvy with natural ability to build relationships with board members, investors, analysts, and finance teams across diverse cultures and functional areas within a global matrix organization.
  • Self-starter mentality with track record of independently initiating and completing projects while maintaining alignment with executive priorities, quarterly deadlines, and organizational goals.
  • Comfort with ambiguity and change, demonstrating adaptability in shifting priorities during earnings seasons and ability to handle confidential information and time-sensitive situations in dynamic financial environments.

Estimated compensation for this position:

90,000.00 - 100,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
