Job Summary

The Facilities Coordinator is responsible for providing administrative and operational support to the Facilities Department while serving as the primary point of contact for facility-related service requests. This role coordinates maintenance and facility services, manages work order requests, supports contractor administration, and ensures effective communication between internal customers, vendors, and facilities personnel. The ideal candidate possesses strong customer service skills, excellent written and verbal communication abilities, and experience supporting facilities operations or administrative functions in a fast-paced environment. This position serves as the face and voice of the Facilities Department and requires the ability to effectively manage multiple priorities while maintaining a high level of professionalism and responsiveness.

Job Responsibilities



  • Receive, review, prioritize, and route facility service requests to appropriate personnel for resolution.
  • Serve as the primary point of contact for facility-related inquiries and requests through phone, email, and work order systems.
  • Create, enter, track, and monitor work orders using Maximo or similar computerized maintenance management systems (CMMS).
  • Coordinate facility maintenance activities and support the scheduling of onsite services and repairs.
  • Review, process, and maintain purchase requests and procurement-related documentation for the Facilities Department.
  • Maintain records of approved purchase orders, service agreements, and contractor documentation.
  • Review contractor invoices and labor records to verify accuracy and alignment with completed work.
  • Track labor hours and service activities performed by third-party contractors and vendors.
  • Coordinate with internal departments, vendors, contractors, and service providers to ensure timely completion of facility-related work.
  • Maintain key control records and support key issuance and tracking processes.
  • Maintain departmental files, records, reports, and documentation.
  • Support facilities reporting, recordkeeping, and administrative processes.
  • Provide exceptional customer service while maintaining positive relationships with employees, contractors, vendors, and visitors.
  • Assist with special projects and perform additional administrative support duties as assigned.


Job Requirements



  • High school diploma or GED required.
  • Bachelor's degree preferred; degree may be considered in lieu of some required experience.
  • Minimum of 4 years of administrative, facilities coordination, facilities support, or related experience required.
  • Facilities, maintenance, property management, or building operations experience preferred.
  • Experience using Maximo or a similar computerized maintenance management system (CMMS) highly preferred.
  • Strong customer service orientation and ability to professionally interact with individuals at all organizational levels.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Experience reviewing invoices, contractor labor records, and service documentation preferred.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Strong attention to detail and accuracy.
  • Ability to work independently and collaboratively within a team environment.


Education



  • High school diploma or GED required.
  • Bachelor's degree preferred.


Work Experience



  • Minimum of 4 years of administrative, facilities support, facilities coordination, maintenance administration, or related experience required.
  • Experience supporting facilities operations, maintenance departments, property management teams, or building services preferred.
  • Experience managing work orders, service requests, and contractor coordination activities preferred.
  • Experience using Maximo or similar CMMS platforms preferred.
  • Experience reviewing invoices, tracking contractor labor, and maintaining service records preferred.
  • Experience serving in a customer-facing administrative or coordination role preferred.
