Supervisor of Admissions/Patient Access

The Supervisor of Admitting is responsible for the 24/7 oversight and coordination of Bed Management operations, ensuring efficient patient throughput across the organization. This role provides direct leadership for Labor & Delivery (L&D) admitting workflows, while also supporting operational excellence within the Emergency Department (ED) registration area.

This position plays a critical role in aligning patient access functions with hospital capacity management, patient flow, and revenue cycle performance. The Supervisor ensures timely, accurate, and patient-centered registration processes while partnering closely with clinical, nursing, and administrative leaders to optimize bed placement and reduce delays in care.

Key Responsibilities

24/7 Bed Management Operations

  • Provide continuous oversight of bed placement, patient flow, and capacity management across all inpatient units.
  • Coordinate admissions, transfers, and discharges to ensure optimal utilization of hospital beds.
  • Collaborate with Nursing Supervisors, House Supervisors, and clinical leadership to prioritize patient placement based on acuity and service needs.
  • Monitor key throughput metrics including ED boarding time, admission turnaround time, and bed turnaround efficiency.
  • Escalate capacity constraints and implement surge or diversion protocols as needed.

Labor & Delivery (L&D) Admitting Oversight

  • Supervise all admitting and registration functions within Labor & Delivery, ensuring a seamless and patient-centered intake experience.
  • Ensure timely and accurate patient registration, insurance verification, and documentation for all obstetric patients.
  • Partner with L&D clinical teams to support emergent and scheduled admissions, maintaining compliance with EMTALA and regulatory requirements.
  • Provide staff training and oversight specific to L&D workflows, including pre-registration and financial counseling.

Emergency Department (ED) Registration Support

  • Support daily operations within the ED registration area, ensuring rapid and accurate patient intake.
  • Ensure compliance with EMTALA regulations, including appropriate patient identification and documentation prior to registration completion.
  • Monitor registrar performance related to accuracy, productivity, and patient experience.
  • Assist in resolving registration errors, duplicate medical records, and patient identification issues in real time.
  • Promote point-of-service (POS) collections and patient financial engagement where appropriate.

Leadership & Staff Development

  • Supervise, coach, and develop Admitting and Patient Access staff across all shifts.
  • Conduct regular quality audits of registration and bed management activities, providing feedback and corrective action plans.
  • Lead training initiatives focused on accuracy, compliance, patient experience, and system utilization.
  • Foster a culture of accountability, teamwork, and continuous improvement.

Revenue Cycle & Compliance

  • Ensure accurate and complete patient registration to support clean claims and reduce downstream denials.
  • Oversee insurance eligibility verification and compliance with payer requirements.
  • Partner with Revenue Cycle leadership to improve front-end accuracy and POS collections performance.
  • Maintain compliance with all federal, state, and organizational regulations, including HIPAA and EMTALA.

Operational Excellence

  • Identify workflow inefficiencies and implement process improvements to enhance patient flow and staff productivity.
  • Utilize data and reporting tools to monitor KPIs and drive performance improvement initiatives.
  • Collaborate with IT and system vendors (e.g., EHR, eligibility tools) to resolve system issues impacting operations.

Qualifications

Qualifications

  • Bachelor's degree in Healthcare Administration, Business, or related field (or equivalent experience).
  • Minimum of 3-5 years of Patient Access, Admitting, or Bed Management experience, with supervisory experience preferred.
  • Strong knowledge of hospital operations, patient flow, EMTALA, and revenue cycle processes.
  • Experience with EHR systems (e.g., Cerner, Epic) and eligibility/estimation tools.
  • Demonstrated leadership, communication, and problem-solving skills.
