Job Summary

GateWay Community College is seeking a collaborative, student-focused, and detail-oriented Fiscal Technician Senior to join the College Business Services team. This position provides a broad range of moderately complex fiscal, cashiering, customer service, and administrative support services in a fast-paced, student-facing environment within Student Business Services (SBS).

The Fiscal Technician Senior serves as a primary frontline resource for students, faculty, staff, vendors, and community members by delivering exceptional customer service and support related to student accounts, cashiering operations, payment processing, and enrollment-related financial transactions. Responsibilities include collecting, posting, reconciling, and reviewing financial transactions; maintaining accurate fiscal and student account records; assisting with financial aid refund processing; preparing daily cash summaries; monitoring account activity within the Student Information System (SIS); and ensuring compliance with college, district, state, and federal regulations.

This position works closely with Enrollment Services departments, including Admissions and Records, Financial Aid, Advisement, and Testing, to support student success, operational efficiency, and the integrity of student financial records. The Fiscal Technician Senior also provides operational and administrative support related to cash handling, fiscal compliance, reporting, and daily business office operations while assisting with support coverage across two (2) GateWay Business Services locations as needed.

Essential Functions

40% - Student Business Services Operations and Customer Support: Serve as a primary frontline customer service contact for students, faculty, staff, community members and vendors through Student Business Services (SBS) in person, by phone, and via email. Perform daily cashiering and student account support functions, including opening and closing cashier registers; collecting, posting, and reconciling payments; preparing daily cash summaries; conducting student outreach regarding payment options, secured funding, and enrollment status; coordinating enrollment cancellations for nonpayment; and responding to student account inquiries while ensuring compliance with college, district, state, and federal regulations.

30% - Student Account Review and Enrollment Services Support: Review and monitor student accounts for accuracy within the Student Information System (SIS), including tuition charges, course fees, financial aid transactions, and other account activity. Research, identify, and report discrepancies to management to maintain the integrity of student accounts for the College and District. Establish and maintain collaborative cross-departmental relationships with Admissions and Records, Financial Aid, Advisement, Testing, and other Enrollment Services areas to support student success and operational efficiency. Work closely with Financial Aid to assist in processing of financial aid refunds and disbursements and monitor Maricopa Student Refund Program files and related reporting systems, including ERS, SIS, and NelNet, to ensure accurate and timely processing.

20% - Fiscal Records and Compliance Support: Interpret and communicate college and district policies, procedures, and payment requirements to students, faculty, staff, and community members. Maintain, review, and process fiscal records and financial transactions while ensuring compliance with applicable policies, procedures, and cash-handling standards.

10% - Operational and Administrative Support: Perform duties commensurate with the level of the position to support efficient operations within the Student Business Services office. Provide operational, administrative, cash handling, and financial compliance support to ensure customer service standards, reporting requirements, and daily business operations are maintained effectively; perform other duties as assigned within the scope and classification of the position.

Minimum Qualifications

High School Diploma or GED and two (2) years of related fiscal, finance, payroll or accounting support experience such as processing and reconciling financial transactions.

There is no substitution or equivalency allowable for the High School Diploma or GED.

OR

An equivalent combination of education and/or experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications

  1. Associate's or Bachelor's degree in Accounting, Business Administration, Finance, Public Administration, or a related field with coursework in accounting, finance, customer service, or business operations.

  2. Two (2) or more years of progressively responsible experience in Student Business Services, higher education finance, cashiering operations, accounts receivable, financial aid support, or a related fiscal/customer service environment.

  3. Experience using enterprise resource planning (ERP) systems such as PeopleSoft Student Information System (SIS), Financial Management System (FMS), Customer Relationship Management (CRM) platforms, NelNet, or similar enterprise systems.

  4. Experience processing, reconciling, reviewing, and maintaining financial records, student account transactions, cash handling activities, and account reports with a high degree of accuracy and attention to detail.

  5. Experience interpreting and communicating policies, procedures, and payment requirements to students, staff, and community members through both verbal and written communication in a professional, customer-focused environment.

  6. 1 year full-time relevant MCCCD experience during the previous two years (internal candidates ONLY)
