About the Team/Role

We are looking for a highly organized, tech-savvy Talent Acquisition Operations Specialist to join our dedicated Global TA Ops team. This is not a recruiting role; instead, you will be the engine behind our recruiters, ensuring our end-to-end processes are seamless, scalable, and efficient.

You will act as a bridge between our Talent Acquisition team and various HR Centers of Excellence (COEs), driving projects that enhance our technology stack (Workday and Phenom) and executing strategies that improve the candidate and recruiter experience.

This is a unique opportunity for someone who loves the recruitment space but prefers the strategy and systems side over active sourcing. You will have a direct seat at the table in shaping how our company finds and hires talent in the modern market.

How You'll Make An Impact Process & System Optimization
  • Workflow Design: Identify bottlenecks in the end-to-end recruiting lifecycle and implement process improvements to increase hiring velocity and quality.

  • Tech Stack Administration: Act as a functional administrator for our CRM (Phenom) and/or ATS (Workday) , ensuring data integrity, optimized workflows, and the rollout of new features.

  • Stakeholder Collaboration: Partner with HRIS, Compensation, and other HR Centers Of Excellence to align recruiting initiatives with broader organizational goals and ensure stakeholder buy-in.

Project & Change Management

  • Project Execution: Lead TA-specific projects from conception to completion, ensuring milestones are met and stakeholders are informed.

  • Go-to-Market (GTM) Strategy: Support the execution of recruitment marketing initiatives and "go-to-market" strategies for new hiring campaigns or employer branding efforts.

  • Change Management: Create training materials and documentation to help recruiters and hiring managers adopt new tools and processes.

Impact and Reporting

  • Monitor system health and user adoption across Phenom and Workday.

  • Work with TA leadership to report out on the success of operational changes through key performance indicators (KPIs).

Experience You'll Bring

Required Skills

  • Experience: 1-2 years of experience in a recruiting role or a recruiting support function (e.g., Recruiting Coordinator, TA Assistant).

  • Systems Knowledge: Hands-on experience with TA-focused CRM tools (e.g., Phenom, Beamery) and enterprise-level ATS platforms (e.g., Workday, Taleo, SAP Success Factors etc).

  • Communication: Proven ability to collaborate with stakeholders, including TA Director, HRIS teams, HRBPs and Compensation leads.

  • Organization and Project Management: Highly organized with ability to keep track of the details without losing the 'why' behind the 'what'. Capable of managing the simultaneous projects effectively.

  • Analytical Mindset: A natural curiosity for how things work and a desire to "fix" broken processes.

  • Problem Solving: The ability to translate a recruiter's "pain point" into a technical or process-based solution

Preferred Skills (The "Plus" Factors)

  • AI Affinity: Demonstrated comfort and foundational understanding of AI tools (such as ChatGPT, Gemini, AppScripts, Co-Pilot, Claude) and the critical thinking skills required to evaluate AI-generated input and responsibly inform decision-making. Exposure to AI-enabled platforms or workflow optimization tools is beneficial.

  • Marketing/Branding: Experience in recruitment marketing, social media campaigns, or executing employer value proposition (EVP) strategies. Experience with content creation and/or campaign rollouts.

The base pay range represents the anticipated low and high end of the pay range for this position. Actual pay rates will vary and will be based on various factors, such as your qualifications, skills, competencies, and proficiency for the role. Base pay is one component of WEX's total compensation package. Most sales positions are eligible for commission under the terms of an applicable plan. Non-sales roles are typically eligible for a quarterly or annual bonus based on their role and applicable plan.
