Position Summary: The Receptionist performs clerical duties such as answering phones, distributing mail and greeting visitors, and serves as a primary voice for the firm. They receive, register and direct visitors and perform additional clerical duties as needed.



Key Responsibilities:



  • Answer and manage incoming, outgoing, and internal calls, ensuring they are directed to the appropriate person or department.
  • Take accurate messages and relay them promptly to the relevant parties.
  • Provide phone training to newly hired assistants as needed, ensuring consistency in customer service and communication standards.
  • Greet and welcome visitors with a professional demeanor, ascertain the purpose of their visit, and direct them to the appropriate area or person.
  • Manage meeting room setups, ensuring rooms are prepared for scheduled events, including arranging refreshments and snacks.
  • Occasionally coordinate catering for meals during group meetings and events.
  • Strive to enhance the overall client and visitor experience by maintaining a welcoming and efficient front desk environment.
  • Assist with general clerical duties, including filing, data entry, and document preparation, as requested.
  • Regularly restock office supplies to ensure availability for staff and visitors
  • Maintain cleanliness, orderliness, and organization of the reception area and common spaces, ensuring a professional and tidy environment.
  • Provide support for company-sponsored events and activities, contributing to event logistics and coordination as needed.
  • Assist with completing and processing expense reports for staff and management.
  • Prepare and process internal documents and reports, ensuring accuracy and timely submission. Handle all incoming correspondence, including packages, mail, and emails, ensuring timely distribution to the correct recipients.
  • Sort, distribute, and route incoming company mail to the correct recipients, ensuring prompt delivery.
  • Notify staff of package deliveries and ensure proper handling and distribution.
  • Meter outgoing mail as necessary, ensuring proper postage and handling.



Qualifications:



  • High School Diploma or General Education Degree (GED) required.
  • Customer service experience preferred.
  • Basic knowledge of Microsoft Office programs required.
  • Excellent customer service and communication skills.
  • Effective multi-tasking skills.
  • Must display professionalism at all times.
  • Ability to flex and adapt to varying situations.
  • Strong interpersonal skills and an approachable demeanor; effectively demonstrates a welcoming presence and remains accessible to colleagues and clients.
  • Actively engages in conversations and fosters an open dialogue with others.
  • Must demonstrate proficiency in all core competencies as described and characterized in this job description. Other duties as assigned.
  • Prolonged periods of sitting or standing at a desk and working on a computer.
  • Ability to read, write and communicate in English
