Position Overview
Jayhawk Academic Advising (JAA) is a unit within Academic Success, a division of Academic Affairs. JAA provides comprehensive academic advising services for prospective, new and currently enrolled students, and serves graduate programs across the University. JAA is staffed by professional advisors, support staff, and graduate assistants. JAA maintains a highly student-centered focus and demonstrates commitment to continuous quality improvement and resilience for a dynamic and changing work environment.

The Assistant Director plays a key leadership role within the Graduate Jayhawk Academic Advising (JAA) team, overseeing a group of up to 8 academic advisors. This position ensures consistent, high-quality advising practices across the unit by supervising staff, supporting professional development, and collaborating with other JAA leadership positions to maintain a standardized and holistic advising approach. In addition to daily management of a team, the Assistant Director helps lead a comprehensive training program. These initiatives support policy compliance, promote holistic student engagement, and advance enrollment goals and academic milestones across advising teams. The Assistant Director reports directly to the Graduate Academic Advising Program Director and contributes to strategic initiatives that enhance the advising experience for graduate students.

Due to complex state employment laws, the University of Kansas may be unable to hire fully remote workers for this position outside of Kansas. Job Description
40% - Supervision and Management
  • Provide daily supervision and day-to-day management of a team of up to 8 major specific, cross-functional, and multi-location academic advisors.
  • Ensure advisors meet university milestones and standards as set by the Director and Jayhawk Academic Advising.
  • Supervise, evaluate, track provided onboarding, training and coaching for advisors.
  • Provide daily management of a team of advisors. Responsible for supervision, evaluation and ensuring advisors are meeting outcomes consistent with JAA Graduate Advising goals.
  • Ensure compliance with all student records and enrollment requirements, FERPA, Financial Aid policies, processes, procedures, etc.
  • Track performance metrics contribute toward the overall metrics for KU Academic Advising.
  • Collect and provide student success and/or academic advisor data as requested.
  • As needed, work to provide resolution to student grievances or concerns or escalate as necessary.
30% - Training Development and Delivery
  • Organize, coordinate, maintain, and implement a robust and comprehensive onboarding and ongoing training program for academic advisors
  • Liaison with stakeholders, department experts, and enrollment management to ensure training is delivered multiple times per year as needed by Jayhawk Academic Advising.
  • Consult with the Director to assess gaps in advisor knowledge or advising content understanding and provide training and/or desk-side coaching as needed to address gaps.
  • Deliver ongoing professional development for advisors and related personnel.
  • Maintain a system to manage new advisors access to required tools and systems.
  • Lead processes and training to support any standardized advisor's expectations.
  • Capture, analyze, interpret, and respond to daily, monthly, and semester metrics advising training activities and needs.
20% - Academic Advising
  • Maintain an assigned caseload of students and serve as a system "super user" to provide adequate support and training to advising staff while also assisting coverage needs.
  • In the event of advising vacancies, provide gap coverage of assigned advising caseloads to minimize disruption to students and the JAA team. This position may have an advising caseload of 10% or less of a standard advising load at the discretion of the Program Director.
  • Responsible for making advising assignments on an as-needed basis.
  • Comply with all student records and enrollment confidentiality and compliance requirements including but not limited to: FERPA, PTDs, Financial Aid, university policies, etc.
10% - Other duties assigned
  • Provide the Graduate Program Director with analysis of training.
  • Assist Program Director in preparation for annual review.
  • Assist in new advising hiring processes.
  • Participate in department and campus meetings and training.
  • Participate in relevant professional development annually.
  • Attends related staff training related to Academic Success
  • Other duties as assigned by supervisor

Position Requirements
  1. This position will have a hybrid work schedule. Remote work is negotiable based on offer. The work schedule for this position will coincide with department needs and traffic. Office hours vary based on the training season, and staffing needs. Some evening and weekend hours may be required with reasonable advanced notice.

Required Qualifications
  1. Master's degree or bachelor's degree and 3 years of related experience in a higher education setting.
  2. Supervisory experience, as evidenced in application materials.
  3. One year of experience in academic advising, career coaching and/or admissions/recruitment at an institution of higher education, as evidenced in application materials.
  4. Experience providing leadership, planning, and problem solving and utilizing organizational skills, as evidenced by examples in application materials.
  5. Experience communicating with multiple departments and/or department leaders, as evidenced in application materials.
  6. Experience in working and understanding of the Family Educational Rights and Privacy Act (FERPA), as evidenced in application materials.
  7. Strong written communication skills as evidenced by the application materials.
This position requires a formal degree in the cited discipline area(s) to ensure that candidates have advanced knowledge, analytical skills and professional competencies necessary to perform the duties of the position. The level of degree is commonly recognized as the standard qualification for similar roles in the public and private sector, ensuring that the university remains competitive with industry aligned practices, enhances collaboration with external partners, and supports the delivery of services and programs that meet professional and market-driven expectations.

Preferred Qualifications
  1. Master's degree in Higher Education Administration, Student Personnel or related student development field
  2. Experience delivering training or educational programming, as evidenced in application materials.
  3. Experience with the PeopleSoft Student Records (SR) Module or other student information systems, as evidenced in application materials.
  4. Experience coordinating multi-week programming across multiple units and formats, as evidenced in application materials.
  5. Experience in an academic advising role at the University of Kansas, as evidenced in application materials.
  6. Excellent communication and leadership skills, as evidenced in application materials.
  7. Experience supervising full-time professional staff in a student development unit, as evidenced in application materials.
