Position Summary
The Terry College of Business has a strategic, comprehensive prospect and portfolio management program designed to support frontline fundraisers in their efforts to maximize fundraising. It includes reporting and data analysis to support these efforts. The Director of Prospect and Portfolio Management has three main areas of responsibility that support this program: Prospect Management, Portfolio Management, and Data Management/Reporting. Activities and decisions are varied in nature, involving independent action and judgment in finding solutions that will move fundraising efforts forward. Strong partnerships with Terry's fundraisers and leadership team, as well as with partners in UGA's Central Development office, are essential to the success of this role. This position is of an extremely confidential nature, having access to confidential donor/alumni information.
Knowledge, Skills, Abilities and/or Competencies

  • Understanding the concepts of successful customer relationship management, whether in a for-profit or non-profit environment.
  • Ability to move comfortably between detailed, prospect-specific work to strategic, forward-thinking projects.
  • Significant experience using Excel, PowerBI, Qlik or equivalent tool to import, process and analyze data
  • Skilled in interpreting data through a strategic lens and sharing insights with team members and leadership to inform decision-making.
  • Ability to work on multiple projects simultaneously under strict deadlines.
  • Able to work independently and in a team.

Prospect Management
Proactively monitor Terry prospects, collaborating with all Terry fundraisers, their managers, and the Senior Director of Development on prospect strategies for every stage of the development cycle. Work with fundraisers to address areas of concern and keep plans on track.

  • Support fundraisers with qualification efforts by requesting research, identifying potential areas of interest, and exploring possible connections to other alumni.
  • Conduct advance reviews of upcoming prospect solicitations to ensure prospects are being cultivated and solicited for the highest possible ask, relative to each prospect's capacity, past giving, and interests.
  • Periodically confirm stewardship activities are occurring in a timely, appropriate manner, geared towards future requalification.
  • Conduct prospect strategy sessions with fundraisers and their managers to collaborate on customized approaches to complex prospect situations.
  • Identify opportunities to move gifts forward through collaboration with other fundraisers, whether in Terry or outside of Terry.
  • Regularly review prospect meeting notes logged in the CRM system to ensure gift conversations are moving forward in a timely manner.
  • In conjunction with each fundraiser's manager, train new fundraisers on UGA and Terry's best practices for prospect management and use of the CRM system.

Duties/Responsibilities
Data Management & Reporting
Gain and maintain an understanding of the data available through UGA's CRM system and other resources, and identify innovative uses to advance fundraising efforts and monitor progress. Interpret results, calling attention to areas of concern, to assist leadership and fundraisers in making data-supported decisions.

  • Manage Terry's ongoing reporting needs using automation and assistance from Central Development's reporting platform to streamline the reporting process as much as possible.
  • Build new reports when needed, using advanced Excel skills, PowerBI, Qlik, or other tools to combine data sets for more powerful insights.
  • Prepare periodic pipeline forecasts throughout the year, keeping leadership informed about concerns or significant changes that might impact Terry's ability to achieve its fundraising goal.
  • Work with fundraisers and their managers to keep pipeline data up to date.
  • Independently and in collaboration with Central DAR's IT department, prepare prospecting lists for fundraiser travel, year-end solicitations, and more, using knowledge of the data to refine and improve list quality.
  • Upon request, prepare reports to assist managers in supporting their teams. This can include progress to goals, interaction summaries, fundraiser pipeline analysis, and more.
  • Twice yearly, work with fundraisers to ensure their portfolio data is current and accurate in the CRM system.
  • Serve as the liaison to the UGA Central Development teams for IT, Prospect Management, and Prospect Research. Serve as the internal expert on Gail prospect management best practices and data capabilities.

Portfolio Management
Periodically review fundraisers' portfolios in detail, ensuring portfolios are balanced by stage of the development cycle, prospects are well-covered, and fundraisers are building their pipelines for the future. Identify portfolios that need right-sizing or other adjustments.

  • Conduct portfolio strategy sessions with fundraisers and their managers to address areas of focus that can vary by season, fundraiser strengths/weaknesses, portfolio size, and more.
  • In coordination with Central Development Prospect Research, identify new prospects by reviewing referrals and mining Terry's alumni database for individuals with potential capacity and interest.
  • Work with new fundraisers to develop their portfolios, and in the event of turnover, assist managers with prospect transitions and strategies.
  • Assist fundraisers and other internal partners in prioritizing prospects as needs arise. This can include prioritization for travel, event invitations, matching gift opportunities, campus engagement, and more.
