Shift timings: Mon - Fri 8 AM - 5 PM

Job Description:

  • Provide general secretarial services for the Dean's office, including transcription of meeting minutes, composition of letters and memos as directed, gathering and preparing data for reports and statistical summaries, receipt and distribution of mail, and maintenance of records and office files.
  • Process Order Request Forms and purchase requests for Administrative approval. Inputs purchase order request in computer system for all departmental orders.
  • Conduct inventory of office supplies and order supplies as required to ensure adequate stock is on-hand.
  • Verify invoices and forward to Accounting for payment in a timely manner. Maintains accurate accounting of expenditures.
  • Assist Dean in monitoring expenses against budgeted accounts. Makes the Dean aware of any discrepancies with accounts.
  • Maintain confidentiality of all information regarding student records and faculty and student communications.
  • Create a positive impression of the College and the division by cheerfully and enthusiastically greeting visitors and callers and interacting positively with students, faculty, staff and other visitors of the Division.
  • Implement administrative decisions and policy as directed by the Dean.
  • Utilize policy set by the Dean's office and the college. Act on behalf of the Dean.
  • Interact and communicate with staff, students, and community members on behalf of the Dean.
  • Coordinate and process materials in accordance with college policy and procedures such as reports, and requisitions.
  • Maintain Dean's calendar, appointments, conferences and meetings schedule.
  • Maintain supplies inventory, newspapers, magazines, and other publications as needed.
  • Assist in the preparation and monitoring of the Division budgets.
  • Provide clerical support services for department chairs, other staff and committee members who interact with the
  • Dean on related instructional duties and responsibilities.
  • Assemble and prepare documents needed by faculty for professional travel requests, field trip requests, and mileage reports. Oversee flow and processing of documents from initial request, to issuance of advances reimbursement. Assure all documentation is complete and accurate.
  • Coordinate documentation with Perkins staff.
  • Respond to routine requests and inquiries over the phone, in person or in writing.
  • Provide high quality customer support. Communicates and provides accurate and timely information and services to various customers served by the Division. Promptly resolve questions and problems raised by customers of the Division.
  • Regular attendance on campus is required for this position.
  • Other duties as assigned.


Required Knowledge, Skills and Abilities:

  • High school Diploma or GED equivalent and 45 credit hours in related coursework and five (5) years relevant
  • work experience OR the equivalent combination of education and work experience.
  • Computer experience with emphasis on MSWord, Excel or Lotus.
  • Keyboarding at 55 wpm
  • Notetaking ability at 85% accuracy.
  • Demonstrated ability in spelling, grammar, word processing, math, bookkeeping, proofreading, work with statistical information, filing and telephone etiquette.
  • Proficiency in the use of office equipment.
  • Strong interpersonal and oral communication skills to deal effectively with the college community and the public.
  • Ability to organize workload in a flexible manner.
  • Ability to handle confidential materials.
  • Ability to solve minor problems.
