Position: Payroll Specialist

Location: Indianapolis, IN

The Payroll Specialist is responsible for processing and maintaining accurate payroll records for all employees of American Structurepoint. This role ensures payroll is processed accurately and on schedule in alignment with the company's bimonthly payroll cycle, while maintaining full compliance with federal, state, and local regulations. This position partners closely with Human Resources, Accounting, and department leaders to ensure payroll data integrity, regulatory compliance, and timely resolution of employee inquiries. The ideal candidate is detail-oriented, highly organized, and committed to confidentiality, accuracy, and continuous process improvement in support of the company's financial and people-focused goals.



Responsibilities

    Process bimonthly payroll for all employees, ensuring accuracy, completeness, and adherence to established deadlines.
  • Verify timesheets, salary changes, bonuses, commissions, reimbursements, and deductions prior to each payroll cycle.
  • Maintain payroll records and ensure data integrity across payroll and HRIS systems.
  • Prepare and reconcile payroll-related journal entries and general ledger accounts in coordination with Accounting.
  • Ensure compliance with federal, state, and local wage and hour laws, payroll tax requirements, and reporting obligations.
  • Manage and process garnishments, child support orders, levies, and other statutory withholdings in accordance with legal requirements.
  • Reconcile payroll tax filings and partner with external payroll tax providers to ensure accurate and timely filings.
  • Coordinate with Human Resources to ensure accurate employee onboarding, status changes, terminations, and benefit deductions.
  • Respond promptly and professionally to employee inquiries related to pay, direct deposit, tax withholdings, and deductions.
  • Assist with internal and external audits, payroll reconciliations, and year-end processing, including W-2 preparation and validation.
  • Support continuous improvement initiatives related to payroll systems, reporting capabilities, and internal controls.


Qualifications

Education & Experience

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field required.
  • At least 5 years of payroll processing experience within a multi-state environment.
  • Experience with UKG Pro, Deltek Vision, or Deltek Vantagepoint.
  • Working knowledge of general accounting principles and payroll tax compliance.
  • Experience processing payroll on a recurring, deadline-driven schedule (bimonthly or similar cycle).
  • Experience processing payroll for a mid to large-sized company.
  • Strong knowledge of federal and multi-state payroll laws and tax regulations.
  • Experience with payroll integrations between HRIS, timekeeping, and accounting systems preferred.
  • Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP, data reconciliation).
  • Experience with payroll system integrations and data validation.
  • Understanding of federal and state tax regulations, wage and hour laws, and payroll reporting requirements.
