The Manager, Clinic Support oversees clinic appointment coordinators and check in coordinators to ensures the smooth operation of the check in, check-out, and scheduling functions, as well as related clinic activities. Additionally, this role provides guidance to the support team, including Knowledgebase Specialists, Quality Specialists, and Trainers, fostering a collaborative and high-performing environment.
What You Will Do: 1. Manages Staff.
Helps develop team structure and work assignments to optimize staffing resources. Hires, orients, and trains Supervisor staff. Assures development and implementation of key productivity and quality standards for department processes. Evaluates staff performance and provides feedback, coaching, and corrective action when necessary. Ensures appropriate staff education and training programs are in place. Identifies opportunities and works with staff to implement plans to improve staff engagement. Performs succession planning to provide development opportunities for key staff identified for future roles within the organization. Understands and follows human resource policies and procedures. Ensures compliance with collective bargaining agreements and labor regulations, addressing issues in accordance with contractual obligations. Fosters staff engagement, identifying opportunities for improvement and collaborating with team members to implement action plans
2. Develops Strong Working Relationships.
Leads cross-functional collaboration through working with peers and other departments to gain deep insights into workflows, interdependencies, and opportunities for process improvement, driving enhanced scheduling performance. Oversees project development and execution, ensuring seamless implementation and continuous monitoring to achieve desired outcomes and long-term success. Partners with key business unit leaders, fostering collaboration and consistently meet service level standards and deliver high-quality support across the organization.
3. Operational Strategy and Alignment for Departmental Success
Conducts comprehensive environmental scans to assess internal strengths, weaknesses, and external opportunities and threats, providing critical insights for operational improvement. Identifies, formulates, and executes effective strategies and tactics to meet departmental objectives and enhance overall performance. Ensures alignment of business unit goals with overarching organizational strategies, promoting cohesion and facilitating strategic initiatives across the organization.
4. Responsible for developing and mentoring department leaders and staff.
Leads the development and mentorship of department leaders and staff, fostering a culture of continuous learning and professional growth. Establishes clear performance standards and identifies measurable goals and outcomes, ensuring alignment with departmental and organizational objectives. Drives the employee selection process to attract top talent, ensuring effective onboarding that integrates new hires into the organization, business unit, and specific roles. Implements a robust succession planning framework to identify and cultivate key staff members for future leadership positions, ensuring a pipeline of talent for the organization.
5. Quality Improvement and Performance Management
Conducts quality improvement and assurance initiatives to enhance patient, provider, and staff satisfaction, utilizing surveys, feedback, and concerns to drive actionable insights. Tracks and analyzes data related to patient access and in-clinic wait times, identifying trends and opportunities for process enhancement. Implements targeted audit initiatives to ensure compliance and promote best practices across operational functions. Collaborates with the team to develop and support performance improvement strategies, fostering a culture of continuous enhancement. Addresses patient concerns and complaints promptly and effectively, ensuring a positive experience and reinforcing the organization's commitment to patient-centered care. Monitors staff productivity and performance metrics, providing insights to inform development and improve team outcomes. Establishes and maintains reporting systems to ensure the efficiency and accuracy of team functions, facilitating data-driven decision-making.
What you will need:
