Position Summary
The individual in this position provides administrative and secretarial support to the Vice President for Information Technology and his team of direct reports.

Duties/Responsibilities
Provides administrative and secretarial support to the Vice President for Information Technology and his team of direct reports. (70%)

  • Assists and deals with issues of highly confidential nature.
  • Composes, formats, and type's documents, letters, memos, and emails; proofreads and corrects grammatical errors, punctuation, and spelling.
  • Assembles, researches, and summarizes information from various resources; compiles data or calculates simple statistics to prepare special or recurring reports.
  • Creates, formats, types, and maintains spreadsheets, graphs, calendars, technical documents, vouchers, and forms.
  • Prepares purchase orders
  • Maintains the VPIT's calendar, schedules and coordinates meetings in person and virtually.
  • Coordinates travel arrangements, prepares travel forms and reimbursement requests.

Duties/Responsibilities
Maintains and generates reports; manages and maintains departmental records, files, and supplies. (15%)

  • Compiles, generates, and tabulates various data or statistics for records and recurring reports.
  • Monitors office supplies inventory and submits orders for same; maintains inventory records of departmental equipment.
  • Maintains inventory of supplies and places orders to restock supplies as needed.

Duties/Responsibilities
Oversees and monitors various other office functions. (10%)

  • Operates multi-line telephone; delivers messages and converses with callers, directs incoming calls, and takes messages.
  • Operates fax and copy machines.
  • Signs for shipments of equipment and packages from Central Receiving, UPS, FedEx, and DHL and delivers shipments and packages to individuals who are addressed.
  • Distributes mail and other documents/information to staff.
  • Assists and advises others concerning records, reports, policies, and procedures.
  • Greets visitors to department and escorts them to individuals whom they are to meet.

  • Performs other Administrative Associate duties assigned.
  • Attends training classes; attends EITS functions and meetings; participates/serves on various committees for EITS and the University of Georgia.
