Schedule: Mon-Fri, 8-5pm (flexible)

Pay Rate: $26-28/hr

Job Summary

The Clerical Assistant provides administrative and clerical support to ensure smooth and accurate office operations. This role requires proficiency in Microsoft Office, strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, KPI-driven environment. The position supports both internal teams and external customers, maintaining accurate records and ensuring timely workflow execution.

Job Responsibilities




  • Perform general office functions including filing, scanning, photocopying, and mailing



  • Review, process, and file documents such as specifications, procedures, and drawings



  • Create, maintain, and update spreadsheets, reports, and tracking documents



  • Enter and reconcile data across multiple systems while ensuring data integrity



  • Identify discrepancies, ensure completeness of records, and maintain accuracy



  • Respond to customer and internal inquiries via phone and email



  • Prepare status reports and monitor workflow to meet established KPIs



  • Follow standard operating procedures and workflow logic independently



  • Support internal stakeholders, including management and field personnel, and interact professionally with external customers



  • Learn and navigate Oracle iProcurement and other departmental or corporate systems



  • Assist with other clerical duties as assigned

    Job Requirements



  • High school diploma or equivalent required



  • 1-3 years of experience in administrative, clerical, or office support roles



  • Proficiency in Microsoft Office Suite (Word, Excel, Teams, Outlook)



  • Strong data entry and document management skills



  • Excellent written and verbal communication skills



  • Ability to interpret operational notes and follow workflow independently



  • Ability to manage multiple tasks, prioritize work, and meet deadlines in a fast-paced environment



  • Strong decision-making skills and ability to act based on documented information



  • Ability to work collaboratively in a team environment

    Education



  • High school diploma or equivalent required

    Work Experience



  • 1-3 years of clerical or administrative support experience



  • Experience navigating multiple systems and reconciling data preferred
