SUMMARY: The Legal Operations Manager will work with legal department attorneys and department leadership to manage legal department operations and to execute projects to improve the process for delivery of legal services to the company. This position plays a key role in managing administrative processes, supporting department leadership, ensuring fiscal responsibility, managing other legal operations team members, and helping to drive continuous improvement within the legal department. The manager will utilize strong organizational skills and experience building efficient systems and teams to enable the legal department to collaborate effectively across the company and to deliver excellent legal services to the organization. RESPONSIBILITIES:
- Develop, plan, and organize office services and administrative management functions of the legal department
- Direct, manage, coordinate, review and evaluate the work of the legal operations specialist team providing administrative and technical support to the legal department.
- Analyze and recommend improvements for workflow process, file storage and organization, project management, and process coordination and refinement.
- Identify and recommend opportunities for operational and budget efficiency through vendor management, software, tools and system optimization. Manage implementation of same.
- Support budgeting, forecasting, business planning and vendor management by providing accurate, comprehensive and timely information and recommendations to inform department leadership decisions, including developing mechanisms and reports and analyzing data to inform department leadership decision-making.
- Support and advance relationships with key departments across the company that the legal department interacts with on a regular basis.
- Act as liaison between legal and other departments (Finance, ITS, HR), ensuring legal operations support company-wide goals
- Coordinate and develop agendas and substantive topics and presentations for department meetings.
- Ensure department conformance with Mortenson policies and procedures.
- Coordinate and assist with space planning and physical environment.
- Effectively work and build relationships with those of diverse backgrounds and organizational levels.
- Oversee and manage outside consultant billing processes and seek improvements of the same
- Develop relationships with outside consultants with goal of increasing cost effectiveness of services provided to the company
- Oversee and manage legal training programs
- Design dashboards and insights to track performance, spend, and operational efficiency
- Champion innovation by piloting new tools or practices (e.g., AI-driven solutions) to drive continuous progress
- Oversee knowledge management to ensure accessible and secure storage of legal documents
- All other duties as assigned.
QUALIFICATIONS:
- Bachelor's degree
- 5-7 years of work experience in a law firm, an in-house legal department or comparable experience
- Ability to maintain a high level of confidentiality and discretion
- Ability to work in a team environment, as well as individually (with minimal supervision)
- Excellent time management, organizational, prioritization and multi-tasking skills, with the ability to be flexible as needed
- Plan, organize, coordinate, supervise and manage the work of legal operations team members
- Direct the analysis of complex organizational, administrative and budgetary problems to find workable solutions
- Knowledge of supervision, administration, organization and management in a legal environment
- Financial administration, statistical and graphic presentation methods used in administrative and budgeting analysis
- Billing and invoicing management
- Adaptive, effective communication and active listening skills
- Positive and professional attitude and strong customer service skills
- Excellent attention to detail
- Proficient skills in Microsoft Word, Excel, Outlook, SharePoint and Power Point

The base pay range for this role is $110,300 - $165,500. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL - 5%, Seattle, WA, and Portland, OR - 10%, Washington, D.C. - 12.5%). Base pay is positioned within the range based on several factors including an individual's knowledge, skills, and experience, with consideration given to internal equity. #LI-PM1 #LI-hybrid Please make note:
