POSITION SUMMARY

The Business Analyst serves as the central hub for financial management, project coordination, and administrative oversight of facility management and capital project portfolios. This role ensures seamless integration between operational activities, financial reporting, and stakeholder communication while maintaining accurate project tracking and compliance with organizational standards.

PRIMARY RESPONSIBILITIES

Financial Management and Analysis

Oversee comprehensive financial operations including budgeting, forecasting, and procurement coordination

Suggested Tasks:

  • Process overtime purchase requests within established timelines to maintain vendor payment cycles
  • Execute monthly accrual processes for both operations and project budgets, ensuring accuracy for financial close
  • Develop and maintain monthly financial forecasts for expenses and capital categories using standardized templates
  • Monitor project commitments and funding requirements, identifying discrepancies and coordination needs
  • Facilitate fund transfer requests between projects and operational accounts
  • Conduct quarterly reviews of open purchase order commitments, working with regional teams to close unnecessary obligations
  • Provide analytical support for budget variance analysis and financial decision-making
  • Assist with invoice resolution, payment tracking, and SAP system reporting requirements

Project Coordination and Tracking

  • Maintain comprehensive oversight of project portfolios with focus on status reporting and milestone management

Suggested Tasks:

  • Update project summary reports every 2-3 days using current SAP data extracts
  • Maintain daily project list updates including completion percentages, work breakdown structures, and status indicators
  • Review project commitments regularly to ensure all active projects are properly tracked and funded
  • Coordinate bi-monthly project status meetings with stakeholders to review progress, roadblocks, and forecasts
  • Develop project rollover assessments and recommendations for management review
  • Support project managers with administrative requirements and documentation needs
  • Monitor project delivery timelines and facilitate cross-functional communication

Administrative operations and reporting

  • Execute systematic administrative processes that support operational efficiency and compliance tracking

Suggested Tasks:

  • Update utility interruption tracking system based on submitted incident reports
  • Compile and distribute monthly operations budget spend data to facility area managers and leadership
  • Ensure responsive email communication with 24-hour response standard for all inquiries
  • Support Ariba procurement system processes and user assistance as needed

Team Leadership and Communication

Facilitate effective team communication and coordination through structured meeting management and documentation

Suggested Tasks:

  • Host and facilitate monthly staff meetings with comprehensive agenda development and follow-up
  • Prepare detailed meeting minutes for all staff meetings, distributed same day or following Monday
  • Coordinate quarterly in-person workshops for remote team building and enhanced collaboration
  • Plan and execute bi-monthly project status meetings with multi-stakeholder participation
  • Develop presentations for management review covering operational metrics and project updates
  • Foster team engagement through structured communication processes and regular touchpoints
  • Support cross-functional coordination between facility managers, project teams, and financial stakeholders

  • All monthly financial submissions completed by specified work day deadlines
  • Purchase order processing completed within 3-day target timeline
  • Fund transfer requests processed within 1-2-day standard

  • Meeting minutes distributed within one business day of meetings
  • Weekly reports delivered consistently on Wednesdays

  • Project tracking systems updated every 2-3 days minimum

System Proficiency

  • Demonstrated competency in GM and JLL programs for reporting and data extraction
  • Proficiency with OneDrive collaboration tools and standardized templates

Process Excellence

  • Adherence to established timelines with proactive communication of potential delays
  • Data accuracy maintained across all tracking systems and reports
  • Continuous improvement mindset for process optimization and efficiency gains

Strategic Support

  • Understanding of capital project lifecycle and financial management requirements
  • Ability to identify trends and provide analytical insights for decision-making
  • Flexibility to adapt to changing business needs and priority adjustments

Qualifications:

Bachelor's degree in a relevant field such as Business Administration, Finance, Engineering, or Data Science and/or 2+ years of experience in a data analysis or business analyst role, preferably within the facilities management or real estate industry.

Strong analytical and problem-solving skills with the ability to analyze complex data sets and draw meaningful insights.

Proficiency in data analysis and visualization tools such as Excel, Tableau, Power BI, or similar software.

Excellent written and verbal communication skills with the ability to effectively communicate complex information to a variety of audiences.

Strong presentation and storytelling skills with the ability to create engaging and impactful presentations.

Experience with building management systems (BMS) and work order management systems is a plus.

Proficiency in project management methodologies is a plus.

Estimated compensation for this position:

70,000.00 - 80,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
