What We Do Provides comprehensive administrative, sales, and operational support for commercial real estate title and escrow transactions. Serves as a liaison between sales, transaction management, internal departments, and customers while coordinating order processing, research, reporting, and closing support activities. Ensures accurate, timely processing of title and escrow services while delivering high-quality customer service including post closing services.

Transaction & Closing Support

  • Support Commercial Title, Escrow and Account Managers with real estate closings from order entry through post-closing.
  • Assist with escrow administration including deposits, disbursements, invoicing, funding coordination, and reconciliation.
  • Order title searches, updates, and related products.
  • Prepare and communicate recording information, endorsements, supplements, and other closing documentation.
  • Post closing delivery of original documents and finalization of policies as needed

Order Processing & Customer Service

  • Enter and manage title, escrow, and search product orders within company systems (e.g., FAST, CF and Salesforce platform).
  • Respond to phone and email inquiries; process incoming orders and monitor through production.
  • Review and revise reports, including supplemental and second reports, as required.
  • Troubleshoot order discrepancies and coordinate corrections.
  • Track transaction status and ensure timely follow-up with internal and external stakeholders.

Sales & Administrative Support

  • Provide administrative support to sales representatives including contract facilitation, order processing, sales quotes, and invoice reconciliation.
  • Maintain sales information and prepare reports
  • Serve as a liaison between sales, operations, and customers to ensure seamless service delivery.

Knowledge, Skills & Abilities

  • Knowledge of real estate title and escrow processes preferred.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Ability to navigate computerized order entry and data management systems.
  • Strong analytical skills with attention to detail,.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills with ability to multi-task in a fast-paced environment.
  • Customer-focused with professional demeanor and positive service attitude.
  • Ability to problem-solve, prioritize, and work both independently and collaboratively.

Education & Experience

  • High School diploma or equivalent required; some college preferred.
  • 1-2+ years of experience in title, escrow, real estate, sales support, or related administrative roles preferred.

Work Environment & Supervision

  • Performs duties following established company procedures and guidelines. Works under general supervision with the ability to manage routine responsibilities independently. May be required to perform additional duties as assigned based on business needs.
