JOB SUMMARY

The Procurement Specialist is responsible for managing the purchasing activities that support a multi-site laboratory services organization. This role ensures cost-effective procurement of laboratory reagents, consumables, capital equipment, service contracts, and operational supplies while maintaining compliance with regulatory and quality standards.

The ideal candidate has experience in healthcare, clinical diagnostics, environmental testing, or scientific laboratory environments and understands the unique supply chain requirements of regulated lab operations.

MAJOR/ESSENTIAL FUNCTIONS

  • Coordinate timely purchasing and provide support to laboratory staff.
  • Thorough understanding of company finance system.
  • Provide key analysis of purchasing activities to VP of Finance and Senior Management.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

  • Partner with strategic sourcing and vendor management to understand laboratory needs
  • Timely review, process and issue purchase orders through ERP system
  • Ensure timely delivery of critical lab materials to avoid service disruptions
  • Coordinate with accounting to resolve invoice discrepancies and payment issues
  • Maintain accurate procurement documentation and contract records
  • Partner with laboratory leadership, operations, and finance to support annual budgeting and forecasting processes related to lab supplies and capital expenditures
  • Analyze spending trends and identify cost-saving opportunities
  • Track key procurement KPIs
  • Ensure purchases align with approved budgets and financial controls
  • Support audits by maintaining complete and accurate purchasing records
  • Research and provide insights into bottlenecks within the procurement process (i.e. missing vendor invoices, etc.)
  • Any other duty as assigned

MINIMUM REQUIREMENTS

  • Bachelor's degree in Supply Chain Management, Business, Finance, or related field
  • 3-7 years of procurement experience, preferably in laboratory, healthcare, or scientific environments
  • Excellent attention to detail and organizational skills
  • Ability to work in a fast-paced environment
  • General knowledge of basic accounting practices
  • General knowledge of accounting software
  • Precise data entry skills and PC proficiency (Microsoft Office Suite)
  • Excellent communication skills
  • Ability to analyze information
  • Protects the organization's value by keeping information confidential

PREFERRED QUALIFICATIONS

  • Experience working with ERP systems, specifically Certinia
  • CPSM, CSCP, or related supply chain certification
  • Prior customer service experience
