Job Summary Plans, coordinates, and manages cultivation, recognition, and stewardship events designed to increase awareness and support the philanthropic community of the College of Arts, Sciences & Education. It is the purpose of this individual to assist in the building and strengthening of relationships with donors and donor prospects by way of recognition and stewardship events. Leads the preparation and execution of event plans, budgets, scripts, briefings, schedules, print and digital material, contracts, and coordination of even marketing in consultation with the College's leadership and in coordination with the FIUF Office of Donor Relations. Coordinates virtual and onsite event logistics. Oversee college wide cultivation and stewardship events that includes but are not limited to: events at the Ronald W. Reagan Presidential House, CASE Football Suite, CASE donor/alumni engagement events such as Homecoming and various local and regional broad based alumni/donor engagement events. Donor cultivation and stewardship events such as the annual Explorers Club recognition dinner. Responsible for procurement of goods and services for the department as it relates to recognition and stewardship events. Contracts services of the university and external vendors. Ensures that the university's trustees and other top donors and donor prospects are included in appropriate university events and are recognized for their service and generosity. Conducts post- event filing and archiving (in RE and share drive) Responsible for the coordination of the stewardship and recognition messages sent as follow-up to an event on an ongoing basis on behalf of CASE leadership. Creates and distributes event-related correspondence (invitation, confirmation, follow-up, rsvp links). Develops effective donor recognition strategies, including yearlong, highly individualized projects. Develops general recognition of donors, donor gifts including birthday recognition and correspondence, holiday cards/gifts, special recognition or engagement gifts, and special flowers/gift baskets. Tracks gift premiums inventory and procures new items as needed. Also works on gift premium fulfillment (wrap, coordinate pick-up, log into spreadsheet, add in CRM). Assists in coordinating donor endowment reporting. Collaborates with leadership on departmental planning and organization. Oversees departmental events calendar and maintains event storage and inventory. Also responsible for any departmental filing and archiving. Works to update the events 101 CASE manual as needed. Maintains data integrity for CASE Office of Advancement. Provides reports on event(s), as needed. Project manage student assistant or give services contact. Data entry (bio info, relationships). Updates and maintains event records in Constituent Records Management (CRM) system by entering donor relations actions and event attributes. Also uses ImageNow. Serves as a liaison between the department and other agencies, departments, and vendors as it relates to event management. Interprets and implements policies and procedures as they apply to an assigned area. May recommend changes on policy and procedures as necessary. May supervise lower level staff. Performs other duties as assigned or directed. The omission of duties does not preclude the supervisor from assigning duties that are logically related to the position. Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures. Minimum Qualifications Bachelor's degree and three (3) years of experience planning and coordinating events; OR seven (7) years of experience planning and coordinating events; OR an equivalent combination of relevant education and/or experience.
