Position Summary The Associate Director, Operations at the Gallatin School of Individualized Study manages facilities operations, space planning, construction and renovation projects, and building services across Gallatin's multi-site footprint. In close partnership with NYU Facilities & Construction Management (FCM), Campus Safety, and central administrative units. This role ensures Gallatin's academic, administrative, and student-facing environments are safe, compliant, well-maintained, and aligned with the school's strategic priorities. The position manages operational workflows for Gallatin's main campus spaces (Floors 4-8 at 1 Washington Place) as well as satellite locations including the WetLab on Governors Island, ArtBuilt Brooklyn studios, and additional teaching and event spaces. The Associate Director provides management for renovations, capital work, security enhancements, classroom improvements, and furniture standards; manages the facilities operating budget; oversees vendor relationships; and supports planning activities under the direction of the Senior Director of Technology & Operations. Qualifications Required Education:
Bachelor's Degree in facilities management, architecture, engineering, interior design, or related field, or equivalent experience. Preferred Education: Master's Degree in Facilities Management, Construction Management, Architecture, Interior Design, Operations Management, Engineering, Higher Education Administration, or a related field. Preference for graduate preparation that includes experience with multi-site academic operations, lab or studio environments, space planning, capital or renovation projects, or university facilities administration. Required Experience: 5+ years Experience in facilities operations, construction project management, or related fields. Demonstrated success coordinating complex projects across multiple sites. Experience developing and managing budgets. Preferred Experience: 5+ years of progressively responsible experience in facilities administration, space planning, operations management, or small- to mid-scale project coordination within a university, nonprofit, or multi-site organizational setting. Experience working in academic environments, lab or studio spaces, and renovation or space refresh projects is strongly preferred. Demonstrated success managing multiple priorities in time-sensitive situations and collaborating with central facilities, vendors, and internal stakeholders. Required Skills, Knowledge and Abilities: Strong organizational, analytical, and communication skills. Ability to manage multiple deadlines in a fast-paced environment. Working knowledge of NYC building codes, compliance standards, and federal regulations. Proficiency in MS Word, Excel, project tracking systems, and digital documentation tools. Ability to collaborate effectively with academic units, central NYU partners, and external vendors. Ability to serve in an on-call rotation for emergencies, which may include Saturdays and occasional weeknights. Preferred Skills, Knowledge and Abilities: Master's degree in Facilities Management, Construction Management, Architecture, or related field. Certifications such as PMP, LEED AP, OSHA, or similar. Experience with MEP systems, sustainable building practices, and lab environments. Familiarity with AutoCAD, SketchUp, EMS, and space-planning software. Experience with multi-site academic operations or higher-ed facilities. Must demonstrate strong data stewardship practices, including the ability to collect, verify, and maintain accurate operational, facilities, and project data across NYU systems (e.g., SMS, FCM work order platforms, space databases, procurement systems). Must consistently follow University data privacy, security, and confidentiality requirements to ensure all facilities, space, vendor, and staff information is handled in compliance with legal standards, NYU policies, and Gallatin Operational protocols. Ability to apply quality-assurance checks, maintain audit-ready documentation, and uphold integrity of data used for planning, reporting, and compliance. Additional Information In compliance with NYC's Pay Transparency Act, the annual base salary range for this position is USD $85,000.00 to USD $105,000.00. New York University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, clinical compensation, or other items.
