Our Major Projects organization supports some of the most complex and highstakes field service events across our global customer base-major outages, multiunit shutdowns, LTSA planned events, installation and commissioning scopes, and warranty claims. These projects demand disciplined planning, seamless logistics, and flawless execution.

As part of this team, you will help orchestrate the operational backbone that enables our Project Managers and field teams to deliver safely, efficiently, and on schedule. Your work ensures readiness, continuity, and the structured coordination required to execute missioncritical events.

As the Project Coordinator, you will provide the operational rigor and logistical alignment that keep large projects moving. You'll work closely with Project Managers, sourcing, logistics, planning, tooling, and QA teams to ensure materials, tooling, documentation, and mobilization elements are fully prepared ahead of execution.

This is a handson coordination role where you will:

  • Maintain detailed readiness checklists and track longlead materials

  • Follow up with vendors, monitor PO status, and confirm logistics

  • Support daily execution tracking and maintain dashboards and action logs

  • Consolidate timesheets, documentation, and closeout packages

  • Process warranty claims and ensure complete, accurate information flow

Your ability to manage detail, maintain structure, and keep teams aligned will directly influence the success of our largest field service events.

Job Description summary:

  • The Project Coordinator provides structured operational and logistical support for large, complex field service projects such as major outages, multi-unit shutdowns, LTSA planned events, and installation/commissioning scopes as well as warranty claims.

  • This role works closely with the Project Managers and functional teams (sourcing, logistics, planning, tooling, QA) to ensure materials, tooling, and mobilization elements are fully aligned prior to execution.

  • The Coordinator ensures readiness, continuity of communication, and disciplined tracking of execution milestones.

As a Project Coordinator, you will be responsible for:

Major Project Planning & Readiness

  • Maintaining and update detailed outage readiness checklists.

  • Coordinating with sourcing to expedite critical materials and monitor long-lead items.

  • Following up on vendor deliverables, PO status, inspections, and logistics confirmations.

  • Tracking tooling, calibration status, and shipping/return processes.

  • Supporting PMs with site briefing preparation and distribution to FSE's and subcontractors.

Execution Support During Major Projects

  • Tracking daily progress against plan and update execution dashboards.

  • Maintaining internal action item trackers and change logs.

  • Collecting weekly FSE/contractor timesheets and consolidate for PM review & invoicing.

  • Supporting communication flow between PMs, planners, sourcing, and onsite teams.

Documentation & Reporting

  • Compiling outage/installation close-out documentation (reports, NCR resolution, punch lists).

  • Maintaining standardized templates, forms, and document libraries.

  • Supporting PM Leader with recurring performance reporting across major projects & Lessons Learned consolidation.

Warranty Claims

  • Receiving customer warranty claims, ensure completeness of information, validate and process for Project Management.

Fuel your passion

To be successful in this role you will:

  • Have 4+ years experience in coordination or planning role.

  • Have experience in industrial field service, heavy machinery, power generation or O&G

  • Have ability to manage large volumes of operational detail with high accuracy

Desired Characteristics:

  • Experience supporting large volumes of project documentation

  • Familiarity with ERP systems (Oracle, SAP)

  • Understanding of project financials and cost tracking.
