DEPARTMENT OVERVIEW

Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community. As a valued RRSS team member, you will be contributing to a broad and complex organization consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). Position Overview

Under the direction of the Business Manager of Facilities and Building Services (FBS), the incumbent will receive and process purchase requisitions including low value purchase orders, high value requests and, blanket purchase order renewals, department orders, Express Card purchases, and ledger review. Liaison with private and campus MRO suppliers and contractors, including responding to maintenance concerns, scheduling service, account inquiries and reconciliation, and evaluation of performance. Establish and maintain professional vendor relationships that benefit the University. Provide strong attention to detail in completing forms and projects. Accurately utilize Marketplace, Outlook, Access, Word, Publisher, Excel and Maximo software. Excellent communication, customer service and telephone skills required for heavy contact with internal and external customers and vendors. Thorough knowledge of University policies, procedures and office forms.

QUALIFICATIONS
  • Experience working on a customer service team; and ability to take ownership of customer needs and improve service delivery.

  • Successful experience providing/coordinating customer service assistance in a large complex and inter-dependent department organization.

  • Experience operating a variety of communication hardware such as; multi-line phones, two-way radios, paging systems and electronic mail and forms.

  • Familiarity with facilities management.

  • Proven ability in database management, word processing, spreadsheet software, and desktop publishing such as Access, Word, Excel, Microsoft Publisher, Outlook Maximo, and Marketplace.

  • Ability to input a high volume of complex data accurately and within pre-established deadlines.

  • Ability to operate/manipulate database structures.

  • Skill in developing operations and procedural manuals, new administrative policies, procedures and practices.

  • Ability to communicate sound judgment and respond quickly to sensitive and urgent situations.

  • Proficient in data entry, work processing and keyboarding skills.

  • Ability to communicate verbally in a clear, understandable and professional manner.

  • Skill and ability to plan, develop, coordinate and implement office system to ensure efficient operation. Proven ability to organize a continuous flow of work in a timely manner while meeting deadlines and with close attention to detail.

  • Ability to withstand high pressure and rapid job pace in an environment of changing priorities.

  • Ability to fully analyze assignments, gather data and information and to work with tact and diplomacy with all members of the campus community.

  • Ability to build and maintain relationships within and across organizational boundaries.

  • Ability to uncover the important and relevant information about a problem through effective customer interface, conversation and questioning.

Pay Transparency Act

Annual Full Pay Range: $53,160 - $75,335 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $25.46 - $36.08

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
