DESCRIPTION OF WORK

In this position, you will be responsible for collecting all incoming mail for the unit from the PennDOT Mail Center. Your tasks will involve reviewing the mail, including items from messenger services, to identify those specifically addressed to the Clerical Supervisor, Manager, or other designated individuals, and delivering it directly to their desks. You will also need to recognize misdirected mail for return to the Mail Center. Your duties will include opening, organizing, and reviewing the mail in accordance with unit standards, which entails removing staples and paper clips, repairing torn documents, rearranging document order, and ensuring small pieces are secured to prevent loss or damage. Additionally, you will attach payments to applications and use a date-stamping machine to mark the receipt date on each application page, ensuring the correct date is set beforehand. You will also employ a PIN machine to assign a sequential PIN number to each application, maintaining their order, and record the starting and ending PIN numbers daily. Finally, you will utilize a computer terminal to enter the PIN numbers along with the corresponding VIN into SAMS, and sort the applications by vehicle type, specifically Snowmobile or ATV, after the PIN entry.
