Practice Coordinator
Job Summary

Under direct supervision and guided by the procedures of UCSF Dental Center, the Practice Coordinator II is responsible for providing front support to the Pediatric Dental Clinics within the Department of Orofacial Sciences (OFS). The Practice Coordinator is responsible for the reception, registration and patient processing in the Pediatric Dental Clinics. They are the direct liaison between patients and the services they receive at the clinics in any level of care.
The Practice Coordinator works as a team member and consistently project a professional and courteous demeanor. The Practice Coordinator II is required to comply with UCSF and School of Dentistry standards and to demonstrate excellent customer service skills with patients and staff. The Practice Coordinator must have the ability to perform and prioritize multiple tasks and work well with staff, students, patients, and providers.
The Practice coordinator is required to work at Parnassus and Mission Bay clinic locations as needed and scheduled. The incumbent may also support other Dental Center clinics as needed.
Front Desk & Scheduling (60%)
Serve as primary point of contact, greeting patients and managing incoming calls and electronic inquiries. Register new patients and schedule appointments in APeX/Axium according to provider templates and productivity standards. Coordinate multi-provider appointments, manage cancellations/no-shows, and generate reschedule reports to maintain clinic access. Verify insurance, referrals, and authorizations; assign documentation accurately to appointments. Collect copays and outstanding balances; reconcile daily deposits in compliance with University cash handling guidelines. Support patient flow by monitoring wait times and addressing service concerns proactively.
Patient Information & Coordination (20%)
Communicate practice guidelines, appointment instructions, and financial policies clearly to patients. Obtain required consents and maintain strict HIPAA compliance. Provide exceptional customer service, including de-escalating challenging situations when necessary.
Communication & Financial Navigation (10%)
Triage calls for emergencies, referrals, and billing inquiries; route appropriately. Educate patients on financial responsibility and refer complex issues to financial counseling or billing teams. Support patients seeking financial assistance.
Professional Standards & Team Support (10%)
Adhere to UCSF policies related to confidentiality, infection control, safety, and documentation. Participate in training, performance improvement initiatives, and team meetings. Provide cross-coverage support as needed to ensure smooth clinic operations.

Please note: An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Required Qualifications
- High School graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience.
- Experience with in-person client service
- Scheduling patients
- Strong computer skills, including basic keyboarding skills, and experience with at least two Office-type software programs (i.e., Outlook, Word and Excel). Proven ability to navigate through multiple patient records systems. Able to sit at a computer terminal with telephone headphones for extended period of time.
- Ability to analyze situations, prioritizes, and develops solutions and makes recommendations.
- Ability to work with minimal supervision
- Ability to use good judgment and work independently, at times under the pressure of deadlines
- Ability to access situations prioritizes workload, develop solutions and make recommendations.
- Excellent customer service and communication/interpersonal skills, both over the telephone and directly.
- Able to sit at a computer terminal with telephone headphones for extended periods of time.
- Basic math skills required.
- Proven ability to deal with a wide variety of individuals;
- Ability to deal sensitively and effectively with patients.
- Excellent organizational and problem-solving skills.
- Strong writing skills to include the ability to compose, edit, and proof a wide variety of documents.
- Demonstrated administrative/office coordination skills.
- Demonstrated knowledge of medical practice terminology.
Preferred Qualifications
- APeX/EPIC experience strongly preferred
- Experience in healthcare, including patient scheduling, insurance verification, and medical record data abstraction.
- Experience in ambulatory settings.
- Prior experience with appointment, ancillary service, or surgical scheduling.
- Bilingual or multilingual capability (Spanish, Cantonese, and Russian).
