Summary of Job Duties:Must obtain data for processing birth certificates, accurately key data into state's electronic registry system, and work directly with physicians, funeral homes, and patients' families to ensure the completion of death certificates in the state's death registry system in accordance with UAMS, Joint Commission, and Department of Health standards and requirements. Must meet timeline requirements for responding to vital records requests.

Maintains daily volume log; provides manager with daily statistics to ensure that staffing levels reflect workload requirements; operates computerized request tracking system to enter/edit and/or access information; utilizes electronic health record to print computerized PHI when available; meets productivity targets established by manager.
Stays abreast of developments in the Health Information Management field through professional activities, continuing education and other related activities; composes original letters in response to problem cases for patients or their attorneys using hospital computerized applications; monitors and updates the correspondence logging system for all aged pending requests on a daily basis and provides daily statistics to supervisor, ensuring a prompt response to requests for health information.
Periodically is assigned special projects and related duties and may be required to assist in other areas of department as determined by manager; schedule may vary slightly dependent upon work activity requirements including meetings, training, etc.

Key Responsibilities:
*Process and manage all vital records birth cases for UAMS, to include: daily rounding to L&D units and interacting with patients, family, and hospital staff; accurately keying in birth certificate records into the Arkansas Department of Health (ADH) electronic vital records system; assisting patients in completing an Acknowledgment of Paternity affidavit when applicable; provide letters of live birth when requested by birth mothers or other facilities; answer phone and email inquiries; work directly with ADH staff on cases that require special or urgent handling; submit affidavit of corrections for any errors submitted to ADH; correct edits sent to UAMS by ADH.

*Process and manage all vital records death cases for UAMS, to include: Daily rounding to the UAMS morgue to retrieve death documentation; review ADH electronic record system to ensure death certificates have been entered and completed for all UAMS cases; follow up with physicians when death certificates are missing, incomplete, or require correction; maintain log of all deaths for accounting and statistical reporting.

*Maintains daily volume log and provides manager with daily statistics, operating a computerized request tracking system; stays abreast of developments in the Health Information Management field through continuing education, professional activities and related activities; composes correspondence in response to problem cases for patients and/or Arkansas Department of Health; other duties as assigned.

*Other duties as assigned. Qualifications:

Minimum Qualifications

  • Bachelor's Degree in Health Information Management, Healthcare Administration, Business Administration, or a related field or Associate's Degree and 2 years of medical or legal experience OR equivalent combination of education and experience

  • Computer skills; critical thinking and analysis

Preferred Qualifications

  • Prefer a degree or current enrollment in Health Information Management

  • Prefer 2 years of experience in medical records

  • Current RHIA, RHIT or eligibility preferred
