I. JOB OVERVIEW






Job Description Summary:
The Columbian College of Arts and Sciences ( CCAS) is the intellectual and creative backbone of the university, where the arts, humanities, social sciences, and natural sciences converge to form a nexus of ideas and opportunity. The Department of Economics, located within walking distance of the Federal Reserve, the World Bank, the International Monetary Fund, and other major institutions, offers several options of study and serves a diverse undergraduate student body.

The Academic Department Administrator provides comprehensive administrative and student-facing support to the Department of Economics. This role ensures smooth departmental operations, supports faculty and staff, and serves as a primary resource for undergraduate students navigating registration, degree requirements, and academic policies. The position requires strong organizational skills, attention to detail, and the ability to manage sensitive information while fostering a welcoming and professional environment.

Responsibilities
Student Advising & Support

  • Serve as the primary point of contact for all Economics students, providing holistic support and guidance on academic and administrative matters.
  • Assist undergraduate students with registration, degree requirements, and departmental academic policies.
  • Maintain accurate and complete student records, ensuring compliance with university policies and standards.
  • Monitor student progress toward degree completion and counsel or refer students as appropriate.


Academic & Administrative Operations

  • Coordinate course scheduling changes, enrollment monitoring, and communication with faculty, staff, and students.
  • Assist the department chair and deputy chair with academic scheduling, syllabi collection, and deployment and tabulation of course evaluations.
  • Extract and analyze departmental data for reporting, strategic planning, and leadership decision-making.
  • Regularly update departmental web content to reflect current course offerings, deadlines, and policy changes.

Departmental & Event Support

  • Assist with the planning and execution of departmental events, including graduation celebrations, student luncheons, and special projects.
  • Attend departmental and CCAS staff meetings, integrating and coordinating with other administrative staff on key initiatives.
  • Manage front office operations, including supervising student employees, delegating responsibilities, and maintaining a professional and functional workspace.

Facilities & Financial Oversight

  • Oversee facility use and scheduling of shared program spaces such as conference rooms.
  • Identify, document, and follow up on facility issues with appropriate maintenance staff.
  • Handle basic financial transactions, including purchasing supplies, reconciling PCard bills, and maintaining expense trackers.

Clerical & Faculty Support

  • Provide clerical assistance to faculty and staff, including office supply ordering, mailing, photocopying, and data compilation.
  • Serve as liaison between the department and university administrative offices.

Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
