We are seeking a Proposal Coordinator, with at least 3 years of experience for our Civil Engineering Division in our West Palm Beach, Ft. Lauderdale, Arlington or Orlando offices.

In this position you will work directly with project managers to deliver a high-quality and timely service to support their business development efforts.

Responsibilities

    Collaborate with proposal managers to produce high-quality compliant proposals
  • Responsible for the layout, production, and delivery of proposals and presentations
  • Identify and outline requirements of RFPs and create compliance matrix/checklists and calendars
  • Schedule proposal production planning meetings
  • Request contract/legal reviews
  • Schedule quality control reviews
  • Layout covers and tabs in coordination with proposal manager
  • Gather information/documents for use in proposal
  • Prepare and send out drafts for quality control reviews
  • Responsible for the pursuit closing process
  • Responsible for keeping opportunities up to date in the database
  • Responsible for updating resumes and project descriptions in the database
  • Responsible for following up on results until a pursuit is awarded
  • Ensure quality of all produced material including consistency, spelling, and grammar
  • Pro-actively update proposal elements, resumes, project descriptions, project photos, and additional boilerplate material
  • Maintain organized documents following the filing protocol for proposal archive


Qualifications

  • Associates or Bachelor's degree (in English, Communications, Journalism, Marketing preferred) OR equivalent demonstrated experience
  • Minimum 3 years in the A/E/C industry preparing proposals for federal, state, and municipal clients desired
  • Must have the ability to thrive in a collaborative environment and work well with others
  • Strong written and verbal communication skills
  • Strong organizational and time management skills
  • Ability to work and collaborate with proposal manager displaying a positive and professional attitude
  • Eagerness to learn and follow company's proposal management process
  • Ability to operate under tight deadlines, handling various projects simultaneously, and manage last minute/urgent requests. Must be able to adjust to multiple, concurrent deadlines.
  • Intermediate skills in Adobe software (InDesign and Acrobat)
  • Advanced skills in Microsoft Office software (Word, Excel, PowerPoint)
  • Utilizing artificial intelligence (AI) a plus
  • Pre-employment drug screening is a condition of employment

Hand-eye coordination is necessary to operate a computer, keyboard and mouse. Use of a telephone headset will allow for virtual communication with team members through Zoom and/or Microsoft Teams. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
