Your Opportunity + Impact Join our Maitland office as an Administrative Assistant and play a key role in keeping our team organized, supported, and operating smoothly. This position is ideal for someone who enjoys variety, takes initiative, and thrives in a fastpaced professional environment. You'll support staff across multiple departments with daily administrative needs, helping maintain an efficient and welcoming office environment. Key Responsibilities
- Support Operational and Corporate Services Teams (CST) with scheduling, travel coordination, and productivity initiatives.
- Review and proofread correspondence and reports, ensuring accuracy, clarity, and compliance with company standards.
- Assist operational staff with proposals, business planning, client communication, and routine administrative tasks.
- Coordinate the printing, preparation, and routing of drawings for signatures and submission.
- Prepare shipping labels and manage mailings to ensure timely delivery of documents and materials.
- Prepare meeting minutes, maintain license records, and update client contact information.
- Monitor and maintain department or division inventories, including ordering and tracking office supplies and equipment.
- Support Project Managers by updating project management databases, reports, and tracking tools.
- Assist with planning and execution of office, departmental, and company events, to support a positive and efficient workplace environment ensuring smooth daily operations.
Education and Experience
- Education: Associates or Bachelor's degree in business administration or a related field is preferred.
- Experience: Minimum one (1) year experience within a professional office setting required.
- Licensure/Certification: n/a
Preferred Qualifications
- Proficient in Microsoft Office Suite (Excel, Word, Power Point, Outlook)
- Must possess the ability to work both independently and as part of a team, multitask, and have a flexible schedule to meet deadlines.
- Strong interpersonal skills, and the ability to interact professionally with clients, vendors, and other external sources.
- Must be able to maintain confidential information and uphold a high level of professionalism.
