Position Summary

The Global Program Advisor plays a vital role in supporting enrolled participants before departure and throughout their AIFS Abroad experience. Advisors provide individualized guidance, ensuring students are well-informed, prepared, and supported while maintaining strong program retention.

This role involves working closely with students, university partners, and overseas colleagues to manage pre-departure processes such as course enrollment, documentation compliance, and visa guidance (program/location dependent). Exceptional customer service, attention to detail, and strong program knowledge are essential.

This is a full-time, non-exempt position, Monday-Friday, with some flexibility in scheduling. Occasional domestic travel to U.S. study abroad fairs and potential international travel to AIFS program sites may be required.



Key Responsibilities

Participant & Program Support



  • Manage participant onboarding through the AIFS online portal, including documentation collection and review
  • Communicate regularly with participants and university advisors via phone, email, and internal systems
  • Edit, approve, and maintain accurate participant documentation
  • Provide guidance on course selection, approvals, and academic requirements
  • Ensure all pre-departure requirements are completed prior to program start dates



Visa & Compliance Support



  • Manage visa processes for assigned locations by staying informed of host country requirements
  • Coordinate group visa applications when applicable
  • Communicate clearly with students and external visa processing organizations
  • Collaborate with overseas colleagues to stay current on visa and regulatory changes



Operational & Cross-Team Collaboration



  • Maintain accurate records in AIFS databases and staff/student portals
  • Ensure participants are enrolled in required travel and medical insurance
  • Respond to inquiries regarding financial aid usage and support documentation tracking
  • Collaborate with Program Managers, IT, Accounts, and other teams to ensure accurate billing and invoicing
  • Share best practices with Internship and Customized Faculty-Led teams
  • Co-host and update pre-departure webinars
  • Respond to transcript-related inquiries
  • Serve on the AIFS Abroad emergency phone rotation as scheduled
  • Perform other duties as assigned



Role Milestones



  • 30 Days: Onboarded and trained on core processes
  • 60 Days: Familiar with assigned program locations and systems
  • 90 Days: Acting as primary point of contact for participants and overseas partners
  • 6 Months: Managing a full workflow independently and serving as location point person
  • 1 Year: Fully integrated and contributing at a high level
