Description

Idaho National Laboratory is seeking an Administrative Assistant. This position is located at our Materials and Fuels Complex. Our team works a 4x10 schedule every Friday off.

INL is recognized as the lead national laboratory for DOE-NE, providing much of the nuclear research, development, and demonstration capability needed to move nuclear innovation forward to deployment. MFC hosts a unique combination of personnel, facilities and infrastructure and offers the ability to perform research and development of nuclear fuels from fuel design and fabrication through post irradiation analysis.

You will provide administrative support to line managers and organizational staff. Prepares correspondence and reports, schedules meetings, and performs related office functions.

Responsibilities:

  • Compose, edit, and proof a variety of documents, reports, and correspondence. Design and/or create charts and graphs to be used in oral presentations. Initiate and respond directly to correspondence of both routine and nonroutine nature. Respond to problems/inquires and completes periodic and special reports.

  • Order supplies by generating requisitions through the company provided systems. Is the Point of Contact (POC) and escort for vendors performing maintenance on office or facility equipment.

  • Receive, refer, and/or answer inquiries regarding organizational activities.

  • Efficiently manage and coordinate multiple calendars/schedules with accuracy and efficiency while prioritizing time management needs.

  • Proactively resolve scheduling conflicts and coordinate collaborative meetings.

  • Support office operations by coordinating requests for information or providing general direction to others across INL.

  • Coordinate travel accommodations for organization(s) and prepare travel expense records.

  • Handle classified and unclassified sensitive data and materials according to protocol while maintaining all security and safety protocols.

  • Advise managers on decisions to retain, store, or destroy organization records, ensuring special record-keeping requirements are met for various record classifications.

  • Ensure confidentiality and security of sensitive and controlled documents.

  • Facilitate phone/move requests, logistical space coordination, onboarding of new employees, and other service requests.

  • Monitors status of critical items, assignments, and deadlines to ensure timely completion.

  • May escort un-cleared visitors as requested.

  • Other duties as assigned.

Qualifications

Minimum Requirements:

  • Level 3: Graduation from high school or equivalency and 4+ years related experience.

  • This position requires the ability to obtain and maintain a Department of Energy "L/Q" clearance, which requires US Citizenship.
  • Demonstrated proficiency with Microsoft Office including extensive knowledge of MS Word, PowerPoint, and Excel.

  • Experience managing multiple calendars and schedules.

Preferred:

  • Experience working at Materials and Fuels Complex.

Job Information:

  • The pay range for this position is: Level 3 ($22.93/hour -$37.82/hour). At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.

  • TDP: This is a testing designated position; you will be required to submit to a pre-employment drug screen and periodic drug testing throughout the term of your employment.

  • Multi-Level: This is a multi-level posting and you will be placed at the appropriate level dependent on depth and breadth of proven experience and skills.

Physical Requirements:

The employee is frequently required to stand, walk, sit, bend, operate a computer keyboard or type, handle materials, or reach with hands and arms performing the essential functions of the classification. The duties require sitting for long periods, accessing stored file boxes and file cabinets, and moving and organizing physical file materials. The employee must occasionally lift 35 pounds. Specific vision abilities required by this classification include close vision, distance vision, depth perception and ability to adjust focus, conduct research and inspect materials. Sufficient clarity of speech and hearing abilities required by this classification includes those which permit the employee to discern verbal instructions, communicate effectively in person, by telephone or electronic mail. While performing the duties of this classification, the employee works in an office setting where the noise level in the work environment is usually moderate.
