Job Description

The Event Marketing Specialist helps in the planning, coordination, and execution of company participation in trade shows and events. Key responsibilities include managing logistics and vendors, preparing booth materials, and tracking budgets all while requiring strong organizational skills, attention to detail, communication abilities, and the capacity to work effectively under deadlines.

  • Plan and execute trade show participation including booth design, layout, and overall presentation.
  • Coordinate logistics of the event including shipping, setup, dismantling, and storage of exhibit materials.
  • Oversee event registration and paperwork including contracts, exhibitor manuals, and compliance with event regulations.
  • Track budgets and expenses, monitor costs, process invoices, and ensure events stay within budget.
  • Coordinate with internal teams including marketing, sales, and product teams to align messaging and objectives.
  • Manage promotional materials including ordering and tracking giveaways, signage, and marketing collateral.
  • Ensure brand consistency by ensuring booth design, visuals, and messaging match company branding guidelines.
  • Measure and report ROI by tracking leads, attendance, engagement, and provide post-event reports with recommendations

Qualifications
  • Bachelors Degree in Marketing, Communications, Business, Event Management or Related preferred.
  • Minimum of 3 Years Experience in Event Management or related field
  • Knowledge of trade show operations - logistics, exhibitor regulations, vendor coordination, and industry best practices.
  • Project management skills - ability to plan, prioritize, and execute multiple events under tightdeadlines.
  • Budgeting and financial tracking skills - experience in management of event budgets, processing invoices, and controlling costs.
  • Written and verbal communication skills - collaborate effectively with internal teams, executives, vendors, and event organizers.
  • Technical proficiency - comfort with event management software, registration platforms, CRM tools, and Google applications.
  • Problem-solving and troubleshooting skills - quick thinking to resolve unexpected onsite challenges.
  • Time management and organization skills - ensure deadlines are met and no logistical detail is overlooked.
  • Interpersonal and teamwork skills - ability to coordinate across departments and represent the company professionally at events.

RRD's current salary range for this role is $63,300 to $97,400 / year. The salary range may be adjusted based on the applicable geographic location of the hired employee, and the range may change in the future.At RRD, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions may vary based upon, but not limited to education, skills, experience, proficiency, performance, shift and location. Depending on the role, in addition to base salary, the total compensation package may also include participation in a bonus, commission or incentive program. RRD's benefit offerings include medical, dental, and vision coverage, paid time off, disability insurance, 401(k) with company match, life insurance and other voluntary supplemental insurance coverages, plus parental leave, adoption assistance, tuition assistance and employer/partner discounts.
